ANNUAL SERVICE CONTRACT
SUBJECT: Annual Maintenance Service Contract (AMC) for Volvo Eicher Make Engine Coupled to 62.5 KVA
Alternators.

Dear Sir,
This is in reference to your inquiry regarding the subject and our subsequent discussions we are pleased to submit our offer for
Annual Maintenance Service Contract for DG Set.

BENEFITS OF A.M.C: -
 To provide preventative and pro-active maintenance.
 Improve the reliability of the machine and ensure optimum performance.
 Reduction in operating cost.
 Identification of potential problems and timely remedial action thereof.
 Reduction in breakdowns and breakdown time.
 Enhancement of total life of the machine.
 No Pain taking for Equipment Service by user.
 Every month visit by our service Engineer to monitor the health of the Engine.

SCOPE OF WORK UNDER A.M.C: -

 Change of engine lube oil & filter (arranging by customer) as per schedule and other linked activates i.e. button filter, etc
cleaning.
 Cleaning or replacement of air cleaner filter as schedule.
 Checking V-belt’s condition adjusting and replacements as per requirement.
 To clean the cylinder head and cylinder liner fins in Air-cooled Engine external only.
 Checking of All hoses, pipe, clamps, clips & nut/bolt etc.
 Checking of all air cleaner hoses, external pipes of oil cooler etc. for leakage & replacement of the same if necessary.
 To check the cylinder head Bolt torque as per schedule.
 Tightening of all the mounting fasteners.
 Checking and readjustment of tappet setting & fuel timing if required or as per schedule.
 Cleaning of centrifuge filter at regulars intervals (if provided)
 Cleaning of battery terminals and applying petroleum jelly if required
 Checking the distilled water level and top up.
 Checking of fuel tank condition if cleaning required the charges will be extra applicable as outsource activity.
 Checking the all-electric wirings.
 To advice User if any abnormality found on the load pattern
 Checking all the instrument/gauges for proper working & advising for replacement of the same if found defective.
 Checking the AMF Panel / Alternator condition.
 Advising User on any of the rectification work to be done to improve the overall efficiency of the machine.
 Testing the engine on load for at least half hours after every service or AMC visit
 To educate operator on Day-to-Day maintenance.
 Checking and advising operator for maintaining log book.
 Customer training if required
FREQUENCY OF WORK: -
 Our Service Engineers will visit your premises Once in a Month totaling 12 visits per Year in between any breakdown
( Engine & AC Alternator Related ) calls will be non chargeable.
 The schedule of visits can also be mutually decided.
 Breakdown visits as and when called upon by customer
 Service on Holidays if required.

VALIDITY OF A.M.C: -
 Service contract shall be valid for a period of 12 months from the date of receipt of payment with duly signed by contract
agreement.
 This Annual Maintenance Renewal contract period is from the date of JUNE 2024 to MAY 2025.

WORK NOT COVERED UNDER A.M.C:-

 Major and Top Overhaul labour will be charged extra as per labour Charges and not comes under the AMC Contract.
 Main alternator rewinding, Canopy repair, and AMF Panel is not part of the standard A.M.C. and charges applicable as actuals.
 Transportation of parts required to be serviced outside e.g. (Radiator internal & external cleaning / Starter motor repairs /
Charging Alternator repairs /battery stand by arrangements for rental / diesel tank cleaning / head repair / Machining of parts
or any engine and alternator parts )shall be charged extra.
 Modifications, loading, unloading & shifting will be charged extra.
 Labour charges not covered under AMC Contract for replacement of fly wheel end / gear end oil seal , load cables replacement,
earthing test, Emission Test and any other government approvals.
 All the Spare Parts and Consumables like (Oil, Filters, Coolant) required for carrying out normal maintenance, top
overhaul and major overhaul will be at your cost and the same will be purchased from us.
 We have supplying the genuine spare parts as per the manufacturers re-commendation
 Any works related to DG Set exhaust pipeline, earthings, electrical inspectorate and DG Set shifting not covered under
AMC.

CUSTOMER SCOPE: -
 Any consumable part like flushing oil, diesel for cleaning, cotton waste etc. shall be provided for you.
 A person at site location would be identified by you who would be authorized to sign the field service reports.
 Any variation in the connected load shall be informed at the same time.
 In case of Equipment is shifted or relocated, shall be informed.

Following daily routine maintenance, checks are to be carried out by the customer.
 Checking lube oil or Coolant level before starting the engine every time.
 Checking fan belt condition before starting the engine for wear and tear.
 Minor leakage, which requires only tightening of nut /bolts and hose, pipe clips.
 Monitoring of engine parameters likes oil pressure and water temperature.
 Immediate reporting of any major fault noticed during operation.
 Maintaining the record of running hours in the logbook.
 To sign our field service report, you would identify the responsible person at the location.

 Breakdown Response and SLA Response Time from complaint logging
A – DG Sets within 30 KMs - 02 hours
B – DG Sets within 31 – 90 KMs – 06 hours
C – DG Sets within 91 & above – 12 hours

Restoration Time: In addition to response time
A – Minor Complaints – within 6 hours
B – Major complaints – within 24 hours
C – Major Overhauling / Replacement of Engine / Alternator /DG Set – within 72 hours and as per the commercial
approval from customer

PAYMENT TERMS: -
 The rates quoted as above are to be paid in 100% advance with DD/Cash/cheque/RTGS in advance to commence the Annual
Maintenance Service Contract in the favor of M/S. SANFORD GENERATORS.

APPLICABLE GST TAX: -

 HSN/SAC CODE: 998719 (Maintenance And Repair Services Of Other Machinery And Equipments)
 GST @ 18 % = SGST@9%+CGST@9%

GENERAL CONDITIONS
 M/S SANFORD GENERATORS reserve the right of inspecting (health checkup) the engine before entering AMC.
 The contract stands only for all Engines and its accessories. However, M/S SANFORD GENERATORS will guide the customer
through repair of the coupled equipment. In case the customer wants to service provider to attend the complaint on coupled
equipment then the same will be done on chargeable basis. The rate will be decided from case to case.
 We shall not be responsible for any consequential damages like Production loss, Damage to property, plant, and machinery.
Injury to workforce employed by you etc. Due to malfunctioning of Engine / DG set. And delay in attending the engine due to
reasons beyond our control.
 This agreement is not transferable; in the case of resale or change in locations of the machine this agreement will have to be
modified accordingly.
 The customers shall not directly or indirectly open, alter, modify, change or in anyWay tamper with the equipment of the
machine or attach any additional Equipment to the machine without prior written consent of Service provider ( Sanford
generators).
 Disputes, if any will be subject to Bangalore Jurisdiction only.

TERMINATION OF AGREEMENT
The contract can be terminated by giving one month notice in writing by either party. In the event of such termination,
proportionate service charges amount of contract shall be refunded to the customer after adjusting any payment due on account
of spares or other services.

LUB OIL SERVICE MAINTENANCE PERIOD

 FOR EVERY 250 Hrs OR 6 MONTHS WHICH COMES EARLIER.
 ALL THE RUBBER ITEMS NEEDS TO BE REPLACED ONCE IN A 12 MONTHS OR 1000 HOURS.
 RADIATOR COOLANT COMPLETE REPLACEMENTS 2 YEARS OR 3000 HOURS
