1. Introduction:

In this manual we will introduce the ERP Employees Self Services and will discuss how can
we use it step by step.

Employee Self Services portal is a tool where you can update your personal profile which
will appear on the company’s ERP program starting from adding the personal photo up till
applying for personal leave and business trips.

Employee Self Service is very useful in saving time and facilitates the working flow process
for everyone.

In this document we will show Thirteen transactions to be implemented through Employee


Self Services Application in our ERP

1. Leave Request
2. Sick Request
3. Business trip request
4. Excuse request
5. Overtime request
6. Loan request
7. End of service request
8. Letter request
9. Work items assigned to me
10.My leave balance
11.My Pay-slip
12.My end of service balance
13.Modify previous request
2. Create leave request:
1. Login to employee self-services
2. Select leave request then click on Leave Request area and click Details

3. Click New to create new leave request:


4. Fill leave request below details.
a. In General Section Select leave type from the leave Type drop down list.
b. Define leave starting date in “From Date” field.
c. Define leave end date in “To Date” field.
d. Write your comment in the “Comment” text box “Optional”
e. In Tickets and Requirements section Fill No. Of tickets necessary for this
vacation in “No. Of tickets” field
f. Make “Request exist entry” option “Yes” or “No” based on your applied
policy.
5. Click save to keep all the previous filled data for the submit step.

6. Click on Workflow button then Click Submit to start your request workflow
3. Create Sick leave request:
1. Login to employee self-services.
2. Select leave request then click on Leave Request area and click Details

3. Click New to create new leave request:


4. Fill leave request below details.
a. In General Section Select leave type from the leave Type drop down list.
b. Define leave starting date in “From Date” field.
c. Define leave end date in “To Date” field.
d. Write your comment in the “Comment” text box “Optional”
e. In Tickets and Requirements section Fill No. Of tickets necessary for this
vacation in “No. Of tickets” field as per your policy
f. Make “Request exist entry” option “Yes” or “No” as per your policy
5. Click save to keep all the previous filled data.
6. Click “attachment” sign in the right top of screen.

7. Click “New” and determine the attachment type

8. Click “Browse” to select your attachment from PC or “Cancel” for cancelling step
9. Once you double click the file that will be uploaded, and its data will appear in the
attachment screen

10.In “general” section you can write your notes if needed


11.In “Preview” section a sample image of attachment appears for review.
12.Click “save” to keep attachment details
13.Close attachment screen and return to leave request screen for “submit” step.
14.Click on Workflow button then Click Submit to start your request workflow

4. Create business trip request:


1. Login to employee self-services.
2. Click the Business trip and training tab, then click on “Business trip” area and click
on Details:

3. Click the New to create new Business trip request.


4. Fill business trip request below details.
a. In “General” section select the business trip type from Type drop down list.
b. Date is “request date” and always today by default, but you could change it If
needed.
c. Select destination type from “Destination type” list
d. Define your current country in “From Country”
e. Define your current city in “From City”
f. Define your destination country in “To Country”
g. Define your destination city in “To City”
h. Define trip starting date “From Date”
i. Define trip end date “To Date”
j. Transportation provided - Meals provided - Accommodation provided are
options you can switch then to “Yes” or “No” according to your policy.
k. Other expenses - Visa & Accommodation – Ticket price are optional amounts
to be added to total amount if needed.
l. In Details Section you can select the “Alternative Worker” (optional)
m. Write comment in the text box “Optional”
n. Options “Request Visa – Request Exit Entry” will be made “Yes or No” based
on policy.

5. After updating all the above data click “Save” to keep filled data for the submit
step.

6. Click on Workflow button then Click Submit to start your request workflow:
5. Create overtime request:
1. Login to employee self-services.
2. Select Excuse and Overtime request then click on the “Overtime” area and click on
Details

3. Click “New” to create new excuse request.


4. Fill the overtime below details.
a. Select the overtime request type from “Excuse ID” Field
b. Define the period when overtime happened in “From date” and “To date”
fields
c. Set the overtime total hours in “Number of hours” field.
d. Write your comment for the request in “Comments” text box and comment
here is mandatory field.
5. Click “Save” to keep the above data for submit step.

6. Click on Workflow button then Click Submit to start your request workflow
6. Create Loan request:
1. Login to employee self-services
2. Click the loan and EOS tab, then click on “Loan Request” area and click Details:

3. Click New to open new loan request:


4. Fill loan request below data.
a. Select loan type from “Loan Type” field
b. Define the “Deduction Start Date”
c. Enter Loan Value in “Loan Value” field
d. Define the no of installment and monthly installment value will be
automatically defined accordingly.
e. Write your comment in the text box and comment her is mandatory.
5. Then click “Save” to keep the above data for submit

6. Click on Workflow button then Click Submit to start your request workflow.
7. Create end of service request:
1. Login to employee self-services
2. Click the loan and EOS tab, then click on “End of service request” area and click
Details:

3. Click “New” to open new end of service request:


4. Fill end of service request below data.
a. Select ending type from “EOS Type” field
b. Define notice period start date in “Notice start date” field
c. Select the ending reason in “Reason code” field
d. Last working date will be automatically calculated in “Last working date” field
based on the notice period no of days defined in request setup
e. Write your comment in the text box and comment her is mandatory.
5. Then click “Save” to keep the above data for submit

6. Click on Workflow button then Click Submit to start your request workflow.
8. Create letter request:
1. Login to employee self-services
2. Click the General and Letter tab, then click on “letter” area and click Details:

3. Click “New” to open new letter request:


4. Fill the letter request below data.
a. Determine the destination to which the requested letter will be directed in
“Send to” field.
b. Define the letter type in “Request ID” field
c. Write your comment in the text box and comment her is mandatory.
5. Then click “Save” to keep the above data for submit step

6. Click on Workflow button then Click Submit to start your request workflow.

7. After request workflow is completed reopen it the same way you opened it at the
beginning - Click the General and Letter tab, then click on “letter” area and click
Details
8. Select the request from the side flag or open it, the click “Print” button that
appears when request workflow is completed

9. Letter PDF file will be directly downloaded to user PC.


9. Work items assigned to me:
1. Login to employee self-services
2. As a manager you access this screen to take actions on the requests sent from your
subordinates
3. In “My approvals” section click “Work items assigned to me”

4. Select the request you will about which you will take your decision from the side
flag or open it by clicking “ID”
5. Click “Workflow” to show actions list to choose the needed action.

6. Write comment about your decision if needed, then confirm your decision
10. My leave balance:
1. Login to employee self-services
2. In the “inquiries” section click on “My leave balance”

3. This screen is showing employee leave balance till the determined date in “As of”
field, and this date is editable
11. My Pay-slip:
1. Login to employee self-services
2. In the “inquiries” section click on “My pay-slip”

3. Define pay-cycle year and month which you need to print its pay-slip from “Year”
and “Month” fields, then click “Print” button.
12. My end of service balance:
1. Login to employee self-services
2. In the “inquiries” section click on “My end of service balance”

3. Determine date to when you want to show your end of service balance in “Date”
field
4. Define the ending type upon which you want to calculate EOS balance
13. Modify request.
1. Login to employee self-services
2. Select leave request then click on Leave Request area and click Details
3. Select the leave request that you want to cancel.
4. Click “Modify request” button.
5. Select reason and write description.
6. Click submit.

7. When modify request approved you will find leave request status “Cancelled”.
