REPORT

WRITING

What is Report Writing?

A report is a brief account of an event that has already taken place. The report
helps in recording the events of importance that occur in our day-to-day life. It
attempts to present the first-hand information of an incident or event. A report of
an event presents a record of events that took place. A report of an event
includes one’s ideas, opinions and impressions about the event.

English Writing Skills - Report writing

Generally, two types of reports are asked in the CBSE Class 12 English paper,
namely, newspaper report or a magazine report. Newspaper report is the one
which is published in a newspaper and magazine report is generally written for a
school magazine.

Talking about the exam, in the writing section (Section-B of the exam), it comes
as a Long answer type question (05 marks).

The question for the report is supposed to be answered within the prescribed
limit of 120-150 words.

Talking about marks, it comes as a 05 marks question. The breakup of marks


for Class 12 English writing skills - Report writing is as follows:-

A well written report must possess the following traits:

●​ · adherence to the specifications of report brief


●​ analysis of relevant information;
●​ structuring material in a logical and coherent order;
●​ ·presentation in a consistent manner according to the instructions of the
report brief;
●​ making appropriate conclusions that are supported by the evidence and
analysis of the report; Now, it is very important to follow a proper report
writing format. Not to forget that format carries marks.

Format of a magazine report

1. Heading- A descriptive title which is expressive of the contents of the report.

2. By line- Name of the person writing the report. It is generally given in the
question. Remember, you are not supposed to mention your personal details in
your answer.

3. Opening paragraph (introduction) – It may include the '5 Ws' namely,


WHAT, WHY, WHEN and WHERE along with WHO was invited as the chief
guest.

4. Account of the event in detail- The proper sequence of events that


occurred along with their description. It is the main paragraph and can be split
into two short paragraphs if required.
5. Conclusion- This will include the description of how the event ended. It
may include quote excerpts from the Chief Guest's speech or how did the event
wind up.

Format of a newspaper report

1. Headline- A descriptive title which is expressive of the contents of the report.

2. By line- Name of the person writing the report along with the
designation. It is generally given in the question. Remember, you are not
supposed to mention your personal details in your answer.

3. Place and date of reporting- It is generally not mentioned in a magazine


report separately, but here, it is.

4. Opening paragraph- It includes expansion of the headline. It needs to be


short as it is a general overview of the report.
5. Account of the event in detail- It is generally written in two parts: First,
complete account of what happened in its chronological sequence (preferably)
and second, the witness remarks.

6. Concluding paragraph- This will include the action that has been taken
so far or that will be taken. It is the last paragraph.

Report Writing Format Tips Here are a few valuable tips for you to attempt the

class 12 English writing skills - Report writing question in a better way-

♦ Points to Remember:
●​ Mention the place, date, time and other relevant facts about the event.
●​ Include information collected from the people around or affected by the
event.
●​ Write the name of the reporter.
●​ Provide a suitable title/heading.
●​ Write in past tense.
●​ Write in reported speech and use passive form of expression.
●​ Develop ideas (causes, reasons, consequences, opinions) logically.
●​ Write in a less formal and more descriptive manner, while writing a report
for a school magazine.
●​ Present your ideas and impressions to make the report interesting.
●​ Make sure you double check for grammatical accuracy and spellings.
They carry marks.

Suggested value points: A Report should answer the questions:

Our school organised a seminar on ‘Water Conservation’ as part of the World


Water Day Celebrations on 13th August, 20xx. The main aim of this seminar
was to remind us all about the need to save the government and the
non-governmental organisations in providing help water as it is a precious
source imperative for our survival.

Distinguished environmentalists and eminent personalities were our guest


speakers and they reiterated the need not only of conserving water but also
spoke at length on how to conserve water by stressing upon the fact that each
drop of water is precious. Dr. Yashraj, an eminent environmentalist, suggested
rain-water harvesting as one of the best ways to conserve water.

Using visual aids to highlight his discourse, he suggested that to ensure


availability of water for the future generations the withdrawal of fresh water from
an ecosystem should not exceed its natural replacement rate.

The seminar concluded on the note that water conservation is the most
cost-effective, environmentally sound way to reduce our demand for water and
so each one of us must do our bit towards improving water management to
enhance optimum use of water.

1. Report on a School Event​


Your school recently organized a Cleanliness Drive as part of the Swachh Bharat
Abhiyan. As the Cultural Secretary of the school, write a report in 150–200 words
to be published in the school magazine. Mention the objective, student
participation, activities conducted, and the overall impact.
2. Report on a Newsworthy Incident​
There was a fire outbreak in a residential apartment in your locality due to a
short circuit. You are Riya/Raj, a resident of XYZ Colony, New Delhi. Write a
report in 150–200 words for a local daily, highlighting the cause, response by
authorities, damage incurred, and safety measures suggested.
