PF Related Mandatory Documentation
Dear new joiner,
While we understand that transitioning into Deloitte can involve various administrative tasks, including
Provident Fund (PF) formalities, we want to emphasize that it is the individual's responsibility to ensure
their PF account is in order. This includes submission of necessary transfers, or updates to personal
information which if not attended to by the employee in a timely manner could lead to delays and
penalties/damages.
Again, we would like to clarify that the primary responsibility for managing and maintaining PF
accounts rests with the individual employee. The firm only provides limited support to the extent it is
required to, as an employer, in good faith.
To ensure a smooth onboarding process, please follow these guidelines carefully in relation to your
Mandatory PF formalities with Deloitte:
1. Aadhaar Information
o Ensure your Aadhaar number, name, and date of birth are filled in correctly on the
onboarding form, exactly as they appear on your Aadhaar card.
2. PAN and UAN Information
o Update your PAN and UAN numbers accurately on the onboarding forms.
3. Mobile Number and PAN Linking
o Make sure your mobile number and PAN are linked with your Aadhaar card.
4. PF Related Details
o Fill in the PF related details carefully on the onboarding forms.
o For instance, you will be asked: “Were you earlier a PF member in any of your past
employment - Yes/No”.
Check your PF history details before answering this question on the onboarding form.
5. Confirmation of EPS Contribution Applicable
For freshers: - (i.e., those who were not employed with another organization before
joining Deloitte):
If you are a fresher and Deloitte is your first employer, you can opt for EPS (i.e., Employees’
Pension Scheme) provided your monthly “Basic Salary” is below Rs. 15,000/-. If your monthly
“Basic Salary” is above Rs. 15,000/-, you cannot opt for EPS contribution, and you should
mention EPS applicable as "NO".
If you were employed with another organization before Joining Deloitte:
o If you were employed with any other organization before joining Deloitte, your EPS
applicability depends on your EPS membership in your previous organization. In other
words, if you were an EPS member in your previous organization, it is mandatory to
opt for EPS contribution with Deloitte and give input as EPS applicable "YES".
o If you were not an EPS member in your previous organization, then you should not
opt for EPS and should provide your input for EPS applicable as "NO".
Employee can check the applicability of EPS from the EPF passbook of his/ her Previous
organization. Steps to Download your EPF passbook is as follows:
▪ Click on - https://passbook.epfindia.gov.in/MemberPassBook/login
▪ Use your Credentials - UAN and password for login.
▪ Enter captcha.
▪ You will receive an OTP on your Aadhaar registered mobile.
▪ Enter the OTP and click on the “Submit” button.
▪ YOU will be directed to the Home page.
▪ Select – “Passbook”
▪ Download
Refer below Screen shot. This is an example where EPS was applicable in the individual’s
previous organization.
Any incorrect input regarding EPS will make it very difficult for you in future to operate your
online PF account for any PF transfers (including your current PF transfer from previous
organization to Deloitte) or future PF withdrawals.
6. Consistency of Personal Details
Ensure your name and date of birth are consistent across your Bank, PAN, and Aadhaar card.
If there are discrepancies, please get them updated within a week from your date of joining.
The sequence should also be the same as per Aadhaar. For example, if your name is Rajesh
Ajay Damle on PAN and Bank, but Rajesh A Damle, R A Damle, or Damle Rajesh Ajay on
Aadhaar, this will be considered a mismatch. This could cause significant problems in the future
for maintaining your online PF account properly. Please be noted that any penalties or
damages imposed by the PF department due to delayed compliance or inconsistencies in
personal details will be recoverable from the employee’s salary.
7. Aadhaar Demographic and Biometric Updates
o Ensure your demographic and biometric details are updated on the Aadhaar portal
(e.g., thumb impression and eye scan).
o Check the status of your Aadhaar biometric at: Aadhaar Authentication History
▪ Alternatively, go to UIDAI
▪ Log in to your Aadhaar Dashboard
▪ Check the Authentication History
8. KYC Completion at EPFO Site
o Ensure your KYC is complete at the EPFO site from your previous organization.
o You can check the status by following these steps:
▪ Click on this link: EPFO Member Interface
▪ Path: Click on Manage > KYC
▪ Check the Status column; it should be verified and approved
9. PF transfer from Previous organization to Deloitte.
• If EPF is managed in Previous organization by Company PF trust
o For PF part: please submit the manual PF transfer form (i.e., Form 13) to
your new employer (i.e., Deloitte) only after two months from the date of
joining).
o For EPS part (if applicable): Apply online transfer using Form 13 following
the below.
▪ Login to the UAN portal.
▪ Select Online services.
▪ Select "One Member One Account”.
▪ Select the Approver as per your choice (Either your old
organization or new organization i.e., Deloitte)
▪ Enter Your UAN number.
▪ Click on “Get details”.
▪ Select the details and click on Get OTP.
▪ You will receive an OTP on your Aadhaar registered mobile.
▪ Enter the OTP and click on the “Submit” button.
▪ A PDF file will be generated for your online transfer claim (it is
recommended that you take a printout of the same and keep it in
your records to help you to respond to any future query(ies) that
may be raised by the PF office).
• If EPF is maintained in Previous organization with Regional EPF office.
▪ Login to the UAN portal.
▪ Select Online services.
▪ Select "One Member One Account"
▪ Select the Approver as per your choice (Either your old
organization or new organization i.e., Deloitte).
• Enter Your UAN number.
▪ Click on “Get details”
▪ Select the details and click on Get OTP.
▪ You will receive an OTP on your Aadhaar registered mobile.
▪ Enter the OTP and click on the “Submit” button.
▪ A PDF file will be generated for your online transfer claim (it is
recommended that you take a printout of the same and keep it in
your records to help you to respond to any future query(ies) that
may be raised by the PF office).
Following these guidelines (which are indicative and not exhaustive) will help you to ensure that your
PF documentation is processed smoothly and without any issues.
