STUDENT ORGANIZATION CONSTITUTION

Pimpri Chinchwad Academic Excellence Society

ARTICLE I: NAME AND PURPOSE

Section 1.1 - Name


The name of this organization shall be the "Pimpri Chinchwad Academic Excellence Society"
(hereinafter referred to as "PCAES" or "the Society").

Section 1.2 - Purpose


The Society is established to:
1. Promote academic excellence among students in Pimpri Chinchwad
2. Provide educational support and resources to CBSE students
3. Foster collaborative learning and peer mentoring
4. Organize academic competitions and workshops
5. Bridge the gap between theoretical knowledge and practical applications

ARTICLE II: MEMBERSHIP

Section 2.1 - Eligibility


Membership is open to all students who:
1. Are currently enrolled in Classes 9-12 in schools within Pimpri Chinchwad
2. Demonstrate commitment to academic excellence
3. Agree to uphold the values and objectives of the Society

Section 2.2 - Types of Membership


Active Members: Students who participate regularly in Society activities
Associate Members: Students with limited participation due to academic commitments
Honorary Members: Distinguished individuals who support the Society's mission
Section 2.3 - Rights and Responsibilities
Rights:
Vote in Society elections and decision-making processes
Access to all educational resources and programs
Participate in leadership opportunities
Responsibilities:
Attend at least 60% of scheduled meetings and activities
Maintain academic standards (minimum 75% attendance in school)
Contribute positively to the Society's mission and reputation

ARTICLE III: ORGANIZATIONAL STRUCTURE

Section 3.1 - Executive Committee


The Society shall be governed by an Executive Committee consisting of:
1. President: Overall leadership and external representation
2. Vice President: Assist President and oversee academic programs
3. Secretary: Maintain records and communications
4. Treasurer: Manage finances and budget planning
5. Academic Coordinator: Organize study groups and tutoring
6. Event Manager: Plan and execute Society events

Section 3.2 - Advisory Board


The Advisory Board shall include:
Two faculty representatives from local schools
One parent representative
One alumni representative (if applicable)
Community education advocate

Section 3.3 - Committees


Standing committees may include:
Academic Support Committee
Event Planning Committee
Technology and Innovation Committee
Community Outreach Committee
ARTICLE IV: ELECTIONS AND TERMS

Section 4.1 - Election Process


1. Elections shall be held annually in the month of June
2. All active members in good standing are eligible to vote
3. Candidates must be nominated by at least two active members
4. Secret ballot voting shall be conducted

Section 4.2 - Terms of Office


Executive Committee members serve one-year terms
Maximum of two consecutive terms in the same position
New academic year begins July 1st

Section 4.3 - Removal from Office


Officers may be removed by a two-thirds vote of active membership for:
Failure to perform duties
Violation of Society principles
Academic misconduct

ARTICLE V: MEETINGS AND PROCEDURES

Section 5.1 - Regular Meetings


Monthly general meetings on the second Saturday of each month
Executive Committee meetings bi-weekly
Special meetings may be called with 48-hour notice

Section 5.2 - Quorum


General meetings: 40% of active membership
Executive meetings: 60% of committee members
Voting on constitutional amendments: 75% of active membership
Section 5.3 - Parliamentary Procedure
Meetings shall follow basic parliamentary procedures to ensure orderly conduct and fair
participation.

ARTICLE VI: FINANCIAL PROVISIONS

Section 6.1 - Funding Sources


The Society may receive funds through:
1. Voluntary membership contributions
2. Educational program fees
3. Fundraising activities
4. Donations and sponsorships

Section 6.2 - Financial Management


Treasurer maintains detailed financial records
Annual budget approved by membership vote
Expenditures over ₹1000 require Executive Committee approval
Annual financial report presented to membership

Section 6.3 - Prohibited Activities


The Society shall not engage in:
Political campaigning or partisan activities
Commercial ventures for profit
Activities that discriminate based on religion, caste, or social status

ARTICLE VII: ACADEMIC PROGRAMS AND ACTIVITIES

Section 7.1 - Core Programs


1. Peer Tutoring Network: Subject-specific study groups
2. Academic Workshops: Exam preparation and study skills
3. Science Fair and Competitions: Annual academic competitions
4. College Preparation Sessions: Guidance for higher education
Section 7.2 - Educational Standards
All academic programs must:
Align with CBSE curriculum standards
Be conducted by qualified student leaders or mentors
Maintain high educational quality and integrity
Be accessible to all members regardless of economic status

ARTICLE VIII: CODE OF CONDUCT

Section 8.1 - Academic Integrity


Members must:
Maintain honesty in all academic work
Respect intellectual property rights
Avoid plagiarism and cheating
Support fair academic competition

Section 8.2 - Behavioral Expectations


Treat all members with respect and dignity
Maintain confidentiality of personal information shared in meetings
Represent the Society positively in all interactions
Report violations of this code to the Executive Committee

Section 8.3 - Disciplinary Procedures


Violations may result in:
1. Warning and counseling
2. Suspension of privileges
3. Temporary suspension from activities
4. Termination of membership (by vote of Executive Committee)

ARTICLE IX: AMENDMENTS


Section 9.1 - Amendment Process
This Constitution may be amended by:
1. Proposal by Executive Committee or petition of 25% of active members
2. Written notice to all members at least two weeks prior to vote
3. Two-thirds majority vote of active members present at a properly called meeting
4. Ratification by Advisory Board

Section 9.2 - Effective Date


Amendments become effective immediately upon ratification unless otherwise specified.

ARTICLE X: DISSOLUTION
Should the Society cease to function, all remaining assets shall be donated to educational
institutions or organizations serving students in Pimpri Chinchwad, as determined by a final vote
of the membership and Advisory Board.
