What is the FA(3) XML format?

FA(3) is the official XML schema published by Poland's Ministry of Finance that defines the structure of structured invoices in KSeF. Every invoice must comply with this schema — containing required fields in strict order (the XSD uses xs:sequence). The schema covers seller and buyer data, invoice line items, VAT rates, annotations, and many other elements.

A KSeF number is a unique identifier assigned to each invoice when it is accepted by the KSeF system. It confirms that the invoice has been properly registered and is legally binding. This number is required for corrective invoices and when referencing invoices within the system.

How do I handle buyers who don't have a NIP?

Invoices for individuals not running a business (B2C) do not require the buyer's NIP. Such invoices are issued normally through KSeF, but the buyer does not have access to the KSeF system — the invoice can be delivered to them by other means (e.g., printout, PDF with QR code).

What about foreign buyers and B2C invoices in KSeF?

Invoices for foreign contractors must also go through KSeF. In the FA(3) schema, the NrVatUE field (not NIP) is used for foreign buyers, and VAT rates should be marked as "np" (not applicable) with the appropriate designation (np I or np II). A readable copy of the invoice (e.g., PDF with QR code) can be sent to the foreign buyer additionally.
