Subject: Reports
This memo gives information about four types of reports. In the introduction the purpose of the four types
of report and their difference will be discussed.
INTRODUCTION:
There are six type of informal reports but only four are discussed in this memo report. Progress reports
monitor the headway of unusual or non-routine activities. Feasibility report is required when a company
must decide whether to proceed with a plan of action. Justification/Recommendation reports provide
information and attempt to solve problems by evaluating options and offering recommendations. Minutes
of meetings is a record of the proceedings of a meeting.
PROGRESS REPORTS:
In progress reports we follow the following steps:
 The purpose and nature of the report should be specified in the opening.
 Background information should be provided if audience does not know about it.
 The work completed should be described.
 The work which is in progress should also be described.
 Problems and remedies should be anticipated.
 Future activities and completion date should be discussed.
FEASIBILITY REPORTS:
These are internal reports written to advice on matters. The following steps are to be followed:
 The decision should be announced immediately.
 Background and problems of the proposal should be described.
 Tell the benefits of the proposal.
 If any problem can arise, describe that as well.
 If there is a cost, it should be calculated and discussed.
 The time needed for the implementation of the proposal should be described.
JUSTIFICATION/RECOMMENDATION:
For common topics and recommendations that everyone can accept then we should follow this sequence:
 The problem or need should be briefly identified in the introduction.
 The recommendations or solutions should be announced.
 The benefits of the recommendations or solutions should be explained.
 In the conclusion, a summary should specify the recommendations or solutions.
MINUTES OF MEETING REPORTS:
These reports are mostly used in large organizations where large groups of people exist. The following
should be written in this report:
 The name of the group as well as the date, time, and place of the meeting should be written.
 The names of the attendees and absentees should be identified.
 The disposition of previous minutes should be described.
 Precise wording of motions should be included.
 Conclude with the name and signature of the person recording minutes.
All of these reports are informal and they are different from each other. In organizations these reports are
used. Progress reports are used to describe or discuss the progress of the project or task assigned.
Feasibility reports are used to give advice on matters. Justification/Recommendation reports are used to
give recommendations or to suggest a solution for a problem. Minutes of meeting reports provide a
summary of meetings.
