(Using Canadian College of modern Technology as a Case Study)
ABSTRACT
The function of this system is to calculate the payment of the students and contain the
information of each Student in the College. It stores information and records of all Students in a
database form. The system will be used by the Finance department of Canadian College, Mile
91, to calculate and record the data about the students.
There are several modules in this system such as the Students payment calculation and
registration of new Students and to update all Students details. The system helps the Finance to
check and find information about Students quickly and systematically. The languages used by
the researchers (us) for the design and development of the system is C# for the front-end and
MySQL for the backend.
INTRODUCTION
Paying of fee in College especially in tertiary institutions is an indispensable responsibility on
students, parents, guardians, government or organizations offering scholarship grants. The fee
charged is used in providing a Conducive learning environment for the students. It enables the
management in paying staff salaries, providing equipment and maintaining infrastructures in
the College. At Canadian College Finance department, the need for an efficient and automated
student’s fee management system cannot be overemphasized. This is because it is a private
College whose major source of funding is by fee payment from the students. As in every other
legal transaction, receipts are then issued to the students which they must present before;
taking exams, getting accommodation in the campus, submission of course forms etc.
This Student Fees management system has promising prospect for educational institutions
(Canadian College of Modern Technology) in order to enhance the fee management system.
The demand for a Student Fee Management processing system in a large number of universities
(Canadian College of Modern Technology) worldwide is a growing necessity. The proposed
system would store, route, display and issue receipt electronically. This system not only
enhances the college document management, it also allows decisions to be made faster and
more efficiently.
BACKGROUND OF THE STUDY
The Canadian College is a private College approved by the government of Sierra Leone in 2015.
It is situated at Mile 91
The vision of Canadian College is to rescue the wandering and teeming Students from further
slide into academic and moral decay and transformation of the society through Modern
Technology. Its mission is to discover, sanctify and apply the knowledge of science (Modern
Technology), Business (Entrepreneurs), Computer Scientist, environmental and engineering for
human well-being and sound development of man for better society.
The philosophy of the proprietor (CEO) is to promote sound education for professional skills
and competences in various fields with strict discipline. The College operates faculty system.
The following faculties is run in the school; Computer Science, Business Information
Technology, Business Admin and Accounting, Mass Communication and Agri Sciences.
THE OBJECTIVES OF THE STUDY
The objectives of the study are:
i. Eliminate heavy paper processing during exams
ii. Provide a more efficient and simpler means of handling and updating student’s fee and
other records
iii. To provide a quick, accurate and timely query response system
iv. Generate receipt and approval immediately after payment
v. To reduce stress and gain easy access to students record
THE SCOPE OF THE STUDY
The scope of this study is basically on designing software or database that holds
students’ fees Status, Student’s Ledger book, generate receipt, and other records. The
record or data in the database can thus be used in decision making especially during
examination authorization
THE SIGNIFICANCE OF THE STUDY
This study is aimed at replacing the unproductive and time-wasting manual fees management
system at Canadian College and permission during examinations. Lectures sometimes missed by
the students who normally go for this approval without which they will not sit for their exams.
Thus, this study is significant to remove these inefficiencies.
THE LIMITATIONS OF THE STUDY
The major constraints on this project work is time and finance.
