CHAPTER II

RESULT AND ANALYSIS

1. Offering Letters

Offering letter is letter used to present a product that you sell, so people know the benefits,
functions, and how to get your product was. It contains the designation offered, general terms,
salary figures, payment details, working hours etc. The employee can either accept or reject the
offer. If he agrees to the conditions given in the Offer Letter, he will inform a convenient
joining date. Then the company issues the Appointment Letter as a confirmation of his job.

2. Tips for writing an effective cover letter

Here are five tips for writing an effective cover letter.

1. Be brief and to the point.

Most of the time a cover letter for a job application only has to state that you are applying for a
position and that the application and supporting materials are enclosed. That's it.

2. Make no mistake about it.

The most important caveat in a cover letter? Make no mistake about it. Absolutely no errors.
Your cover letter must be perfection itself. A typo, a poor printing job, a misspelling - mistakes
will make a poor impression because they imply that you don't care.

3. Use a word processor.

Never hand write a cover letter. Never. Prepare your cover letter on a computer using MicroSoft
Word. Don't have a computer? Borrow a friend's or go to a business center and rent one for an
hour or two.

4. Avoid fancy fonts and colors.

You are not creating a flyer or a poster. So use a business font such as Arial. No colors. Black on
white reproduces easily. Use a plain white paper. No deckled finishes or colors either. Print your
cover letter and resume on a laser printer. DeskJet printer ink smudges.

5. Keep it short.

Your cover letter should be one page in length and perfectly centered. The cover letter and resume are
never folded. They are placed in an envelope large enough to accommodate them unfolded.

A. About Job Offer Letters

Corporate employers often extend employment offers through job offer letters, instead of or
in addition to by phone. In their basic form, job offer letters usually include the following.

 Job title or position offered

 Salary or wage, benefits and perks offered
 Instructions to accept or decline the job offer

To give you an idea of what to expect as a job applicant, a job offer letter sample is linked
below. For employers, the sample serves as an example for those seeking to learn how to write
effective job offer letters.

To accept or decline employment offers, job applicants might need only to sign, date and
return job offer letters to the employers who sent them. But, in some cases, job applicants might
have to write job offer letters of their own to accept and decline employment. Consequently,
links to sample job offer letters to accept and decline employment offers are also included below.
B. Job Offer Letter Sample

When modifying this job offer letter sample, be careful about that to which you commit
in writing. A job offer letter could become a legally-binding employment contract of sorts,
should the employee later dispute what you offered vs. what he or she actually received on the
job. So, make sure that you can deliver what you offer in writing. (Consult legal council if you
have any doubts about writing a job offer letter.) But do include as many details as practical in
your job offer letter or as attachments or enclosures, so that your job candidate has enough
information to make an informed decision. Remember, candidates might receive other job offers.
Consequently, you might be competing for their attention.

Before using this job offer letter sample for any reason, please read the Important notice below.

1. Kind Job Offer Letter

a. Job Offer Letter: Executive

The job offer letter is provided to the candidate you have selected for the position. Most
frequently, the candidate and the organization have verbally negotiated the conditions of hire and
the job offer letter confirms the verbal agreements.

Generally, the candidate has indicated that he or she will accept the position, under the stated
terms, prior to the drafting of the letter. Do regard the position acceptance as tentative, however,
until the offer letter, and the confidentiality agreement, if you use one, are signed.

Executive Job Offer Letter

The following job offer letter is customized for the high level director or executive.
Executive contracts are often far more lengthy as the agreements reached can cover everything
from compensation, moving expenses, and signing bonuses to millions of dollars in severance
packages and stock options.

Executive pay can range from approximately $100,000 to millions. Frequently, an executive
hires an attorney who prepares the paperwork; in these instances, the executive contract can be
30-100 pages in length and define every possible condition of employment.

The executive contract protects far-reaching rights of the employee; it also protects the interests
of the company, since the goal in negotiating an executive contract is to get as much as the
executive can without having the potential employer feeling as if they lost in the negotiation.

I would consult my attorney about any job offer more complicated or more extensive than this
sample.

b. Job Offer Letter: Standard

The following job offer letter uses standard categories that cover most positions from
production worker to director. Executive contracts, however, are often far more lengthy as the
agreements reached can cover everything from compensation, moving expenses, and signing
bonuses to millions of dollars in severance packages. I would consult my attorney about any job
offer more complicated or more extensive than this sample.

c. Sample Job Offer Letter: Sales Representative

The following sample job offer letter works for positions such as sales representative,
telephone sales, business development, and outside sales.

The sales professional will frequently make an effort to negotiate more positive
conditions of employment. The sales professional is driven by money and numeric success. So,
the sales professional is likely to look carefully at the base salary, the commission structure, and
any bonus potential the job may offer. The sales professional expects a reasonable base salary,
although some sales positions offer commission only. These jobs are hard to fill.

The sales professional will negotiate frequently for $5-10,000 additional base salary;
three weeks of vacation time; a better commission structure; bonus eligibility for over-producing
to sales goals; and additional bonus potential for the success of the sales team. If you are making
a job offer to an excellent candidate, the sales professional will want to see proof that the
commission and bonus potential numbers are achievable.

I would consult my attorney about any job offer more complicated or more extensive than
this sample.

d. Sample Job Offer Letter: Mid-career Candidate

The following job offer letter uses standard categories that cover most mid-career positions
including manager, engineer, staff accountant, controller, network administrator, supervisor, and
HR Generalist.

While the mid-career professional does make an effort to negotiate more working conditions
than the early career professional, the negotiation bears little resemblance, generally, to the
executive (Director, Vice President, CEO, CFO) negotiation. Executive contracts are often far
more lengthy as the agreements reached can cover everything from compensation, moving
expenses, and signing bonuses to millions of dollars in severance packages.
The mid-career professional will negotiate frequently for $5-$10,000 additional base
salary; three weeks of vacation time; partial or complete relocation expenses; bonus eligibility;
the amount of tuition reimbursement available; and a later start date to enable days off between
jobs.

I would consult my attorney about any job offer more complicated or more extensive than
this sample.
