Guides for Making an Effective Presentation
Designing presentations is easy and fun, Presentation software, ike PowerPoint, has a variety of useful
tools and features to make presentations more interesting and engaging. However, these tools and features it
‘ot properly used, will only make the presentation a cause of distraction and not an aid to help the audience
with your presentation. Enumerated below are some useful tps to make an effective presentation:
1. Minimalism. Do not put too many slides in a presentation. The audience usually becomes
disinterested once they see a lot of slides. Sometimes, it will only make them count how many
slides are remaining inthe presentation, Do not put everything in the presentation, because It's
better for the presenter to relay most ofthe information orally; otherwise, he or she wil just be a
reader of the presentation.
Clorty. The slides in the presentation must be clear. Fonts should be big enough for the auclence
to.read, Fonts should also be appropriate to the topic to be reported or presented. For example, a
formal report should use simple and formal fonts
Simplicity. Do not put an entire paragraph in the slide. Use key phrases, and only the necessary |
information must be included in the slides. This can be accomplished by using bullets and short
sentences. Follow the 6 x7 rule that limits the content of each slides to six lines and seven words
per line
Visua-orientedness. Use relevant graphics to make the presentation more interesting, Howeve,
Braphics should be used only when needed. Graphics should not be overused for the purpose of
design. There should not be images that may distract the audience from the actual content ofthe
Feport. When presenting data, graphics such as charts and graphs are more useful than tabula

L5. Consistency. Slides should be uniform. Avoid using different background for every side. Ideally, the
presentation elements like fonts and colors should also be consistent in every slide.
6. Contrast. Make the presentation readable. Contrasting colors must be used for text and background.
itis advisable to use light text on dark background or vice versa.
-pplving Consistent Background Using Slide Master
‘The use of Slide Master is one of the most user-friendly features of Microsoft PowerPoint that enables
user to apply a predesigned slide, hence, removing from the user the task of designing the presentation, so
that he or she can just focus on the contents of his or her presentation. Slide master allows a user to apply
fonsstent formatting to all slides. It helps them set what format to consistently use when presenting a bullet
Ist, what format to use in case a specific slide has an image, or to apply a consistent background color or
picture to every slide in the presentation,
ne of the most useful capabilities of slide master is applying background picture at once to all slides.
background picture is commonly used especially for organizations that want to have their brand embedded in
the presentation It must be noted thatin choosing a background picture, one must ensure thatthe background
picture will not cause any distraction to the audience.

Animations are useful tools in making a PowerPoint presentation interesting. f properly used, animations
and timings add overall value to the message and will increase the focus of the audience on the presentation.
‘Apresenter can apply animations on texts and objects. On the other hand, using animations should be used
with care as filing up a presentation with too many animations will only distract the audience. Remember that
in PowerPoint presentation, what is important is the content of the presentation, and the animations are just
added features.

22 EMPOWERMENT TECHNOLOGIESThere are some animations which require additional options. An example is the animations that will
come from the sides of the screen (i.e, Fly in) where the user must set from which side of the screen the

Timing
Timing is used to automatically set when a particular animation will take effect (.e., you can set when
a specific object or text with animation will appear on your presentation). During a presentation, it will be
very easy for someone to present since he or she will just focus on the discussion. all texts or objects will
automatically appear, move, and disappear from the presentation, However, the presenter must keep in mind
that when using animation timing, he or she must be aware of the timing of each animation, so that his or her
discussion will be synchronized with the PowerPoint presentation,

Slide Transition and Timing
Like Animations, Transition allows the user to set effects when transitioning to other slides. It could also
be defined as an animation applied to slide when in transition. Also, just like animation, itis used to make 2
presentation more interesting and engaging. Timing can also be applied in slide transition to automatically set
the time when a presentation should move from one slide to another.
Ideally, the Transition effect forall slides should be the same to make it more formal and organized
‘especially when preparing presentations in professional setting. Like the other features, using transitions
should be taken into consideration very well because it may result in distractions during the presentation.
‘This may cause the audience not to fully understand what is presented.

Hyperlinks are used to easily navigate on the slides during a presentation. Through hyperlinks, one can
Jump from one slide to another slide, a Word document, an Excel spreadsheet, or any document in the web.
Hyperlink is especially useful in linking a presentation to its actual reference. For example, an actual Excel
file ofa table embedded in the presentation can be explored using hyperlinks. Here are the steps to create a
