EXCHANGE CONDITIONS PAGE: POLAND

(IFMSA POLAND)
Working Conditions
Languages English Excellent required

Language Remarks The student should be familiar with English


medical terminology. The incoming has to be able
to communicate fluently, otherwise the exchange
might be cancelled.

Clerkship Type Clinical


Clinical (rotation in a clinical department of a
hospital/clinic, such as Internal Medicine, Surgery)

Required level of The student is expected to have accomplished the


studies 3rd year of studies by the beginning of the
exchange (in the 5 years or longer study cycle). If
the student follows the 4 years study cycle, it is
enough if he/she has successfully completed the
1st year of the medical studies.

Graduated students No
allowed Even if accepted by the hosting country, students
must be still enrolled in university by the time the
Application Form is sent.

Clerkship Duration 4 weeks, 6 hours a day, 5 days per week.

Dress code Casual (avoid shorts and short sleeves, as some


doctors deem that inappropriate).

For clerkship in surgical department please bring
short-sleeved scrubs.
Academic quality Only the students who have attended 80% of
clerkship, filled in the Handbook and Evaluation
Form are entitled to SCOPE Certificate.

It is obligatory for the students to take part in Upon


Arrival Training (UAT). The UAT serves as means of
integrating the incoming students into the hosting
country - the incomings are provided with
information about the language, social norms,
security tips or healthcare and education system.
They also participate in teambuilding activities and
in trainings covering such topics as culture shock,
ethics in exchanges and intercultural learning.

The incomings have a possibility to participate in


educational activities delivered within the scope
of Med-Ex. The opportunities vary between the LCs
and may include surgical skills workshops, BLS and
ALS trainings, ultrasonography and
electrocardiography crash course, as well as
dealing with real-life medical scenarios in
simulation centres.

Students can participate in NIME (National


Incoming Medical Education) Project which is
organised on one weekend for all incoming
student. The student will have to pay for
participation (accomodation and food if the NIME
Project is not organised in the city the student has
been accepted). During the weekend OC of the
NIME Project will organised workshops (suturing,
laparoscopy, urological, BLS, ALS, EKG, USG,
spirometry etc.). Furthermore student may meet
incomings from other LC's during the event.

Night Shifts Yes

Working Conditions Night shifts are possible if the tutor agrees, the

is willing to stay longer than required in hospital
this shall be settled directly with the tutor).

Please be aware that students who don’t obey the
above-stated rules may be assigned to the LC on a
random basis.
This rule does not apply in case of months, where
only few cities accept students and it would be
impossible to obey it.

Read carefully all of our LC Explore pages, because


some of our LCs have special conditions:
Gdańsk: student needs to bring upon arrival some
medical documents, not older than 3 months - for
example full morphology blood test and anti-HCV
antibodies level.
Calendar remarks The exchange starts on first Monday of the month,
unless the LEO of the assigned LC (and upon
mutual agreement) has said otherwise.

The student has to arrive on the third day of the


exchange at the latest, otherwise the exchange will
be cancelled.

Please be aware that January and June are exam


periods at Polish Universities and hosting students
may have limited time for organising a local social
program.

Disciplines Remarks The placement in desired field is not always


possible, so make sure to mark all 4 preferences. If
you fill out one choice only, this doesn't mean that
you will be placed in that department, but that you
agree to any department if your first preference is
not available.

Internship Database with our internship proposals.
When filling your Application Form, please select
Public Health as your desired department and
specify the title of the internship you are applying
for in the space for notes/messages from the
student.

Social Program Social activities will be organised by individual


Local Committees throughout the year. The local
social program may include National Food and
Drink Party, sightseeing, eating out or nightlife
activities. The details regarding social activities will
be provided by Local Officer upon arrival. A student
representative will be available for contact and is
going to be responsible for the well-being of
exchange participants.

NICE Project (National Incomings Care &


Excursions Project) provides our incomings with
the best possible Polish experience. The project
consists of the weekend trips to the most popular
and beautiful Polish cities. The national social
program is organized in the months of July and
August.

Special Remarks If the student’s university requires signing any


special documents for the purpose of clerkship
recognition, we reserve the right to receive these
documents translated to Polish by a sworn
translator. In other cases, such documents will not
be signed by our authorities.

Payment details for The unilateral fee must be exchanged upon arrival

Visa requirements - Tourist Visa


- Student Visa

Visa requirements Students should apply for a Tourist Visa. It is also


remarks possible to apply for Student Visa, but this is more
complicated. Students requiring Invitation Letters
for visa purposes have to request Invitation Letters
from NEO-in through their NEO-out or the Contact
Person. Invitation Letters will not be available in
the database. Please note that as NMO we issue
only electronic Invitation Letters, the requests for
the paper ones can be sent only before every
General Assembly and then the copies will be
delivered to requestees during GA

Special Remarks All students applying for Exchange in Poland are


obliged to include in the section “Notes from the
student” of the Application Form their vaccination
status, i.e. if they are vaccinated against SARS-COV-
2, if yes, then with which vaccine, and how much
time has passed since having the last dose. If the
student is not vaccinated, the information should
include the probable date of getting the vaccine.
This information will allow us to ensure the rules of
vaccination set by LCs are obeyed. Lack of
vaccination does not exclude students from
applying and they will not be discriminated
against on the ground of vaccination status.

Upon Arrival
documents

Immunization - all students have to be vaccinated against polio,


requirements tetanus/diphtheria, pertussis, hepatitis B, measles,
mumps, rubella and COVID-19
- all students have to do anti-HBV antibodies level
and if the result is less than 10, they should get an
extra vaccination against HBV
- the students applying for clerkship in infectious
diseases or pediatrics department are obliged to
present the proof of immunity against chickenpox
- the students who got a placement in any surgical
department need to send the MRSA Test result
(not older than 2 weeks)
- all students need to attach the proof of immunity
against tuberculosis. There are 3 combinations
which will be accepted as a proof of immunity:
the Mantoux test result
the proof of BCG vaccination + X-ray result
the proof of BCG vaccination + Quantiferon result
The results of the tests cannot be older than 9
months.

Insurance - Health

Insurance Remarks According to the "Law on Higher Medical


Education" in Poland, every incoming student is
obliged to buy an insurance package. The package
contains all required insurance policies (liability
and malpractice). All students coming to Poland
will have to buy the package, regardless of any
insurance they have purchased in their country.
Please note that despite provided package, all
students are required to purchase their own health
insurance as well. Insurance fee of 53 PLN has to be
paid upon arrival by both unilateral and bilateral
students. For EU students European Health
Insurance Card is required as well.
Deadline 12 weeks

Special Remarks The student has to upload all the documents in


English language. We require complete standard
documents, with no exceptions. Failure to fulfill
these conditions will result in returning the AF to
the sending NEO.
The Student’s Record has to be an official
transcript validated by the university’s stamp (it
cannot be a printscreen).

Card of Acceptance

Deadline 8 weeks

Special Remarks Deadline for sending the Card of Acceptance is 8


weeks before the start of exchange.
Due to the unstable situation in Poland (war on
Ukraine) CAs might be delayed. We are very sorry
for the inconvenience.

Card of Confirmation

Deadline 4 weeks

Special Remarks Deadline for sending Card of Confirmation is 4


weeks before the start of exchange.
Failure to send the Card of Confirmation by that
date will result in cancellation of the clerkship.

Cancellations

Deadline 4 weeks

Special Remarks Units lost due to cancellations (no substitution was


provided) will not be postponed to the following
season.

Substitutions

Substitutions - We prefer substitutions to cancellations


- Substitutions depend on the LC

Deadline 4 weeks

Special Remarks Every substitution will have to be performed


individually but since LC's usually accommodate
students in 2-3 people rooms it would be easier if
substitute student be the same sex as in original
version.
