VOMD CONSTITUTION

1. NAME OF THE CHOIR

The Choir Shall be known as “VOICE OF THE MORNING DEW” The choir will normally be
SATB

2. AIMS AND OBJECTIVES

 To Raise funds for choir vestry and other good cause


 to promote God’s ministry through songs
 To promote growth in the organization
 To learn and perform music, to enjoy and share with others
 To encourage participation in the labour movement
 To perform publicly for the purpose of entertainment and education
 To perform at community events and functions that involves a serious member of the
group.
 To promote choral singing to the church and general public through Events such as
Hymn makers, Choir concerts, Sing song service and Carol
 To maintain the enjoyment of music.
3. VALUE
 The choir is not aligned to any political party or any spiritual organization other than the
church of God
 The choir performance reflects the commitment of the choir to issue relevant to its local
church, community, wider and national community
 The elected officials will conduct business in ways, which reflect and are consistent with
these values
 The choir priorities time.
4. MEMBERSHIP AND SUBSCRIPTION
a. Membership

 Membership is open to any individual interested, Musical experience is not necessary


and auditions will not take place.

 A new member that has not been to the choir before will be consistent in rehearsals for
3 months not absent for more than 3 times, if the person is fast in learning he/she can
start joining the choir ministrations before the 3 Months elapse

 For new member that. Had been in choir before will only be consistent for a month and
not absent more than 2 times within the time frame

b. The Secretary officer will keep a full record of all members by asking them to complete
an initial registration form

c. Members who attend the choir will be asked to register with a fixed amount that will
cover for their constitution handbook and membership card.

d. Members will subscribe to their membership card by paying a monthly due of a fixed
amountalso.The monthly dues will help fulfill the aims of the choir

The choir members will decide the registration fees and monthly dues at the beginning
of the year during AGM.

5. REHEARSALS:

The choir shall normally rehearse every Tuesday and Thursday From 4pm to 6pm and
Saturday from 4pm to 5pm

Note: extra days of rehearsals may be added pending on the type of song and level of
assimilation by the choir members.

6. EQUALITY

The Choir shall be committed to equality in all its functioning, both internal and
external. It will actively seek to act and campaign against discrimination on the grounds
of gender identity, age, race, nationality, ethnic heritage or cultural origin, disability or
any other aspects of identity which can lead to discrimination

7. ATTENDANCE

Members are expected to be punctual in rehearsals and performance

9. TENURE OF OFFICE
In order to maintain a sense of continuity all officers shall serve a period of three years
and eligible for subsequent re-election

10. AREA OF RESPONSIBILITY

a) CHOIRMASTER/CHOIRMISTRESS

Shall have the responsibility of selecting and teaching of songs and train choristers to
sing well and to understand how the choir song is, the CM is elected or appointed
based on professionalism in music and choral production and concert management
as well as other choral activities. The CM is the choir leader and shall always consult
with the honorary officers of the choir and liaise with them in decision making.

b) PATRONS & MATRONS

The patrons and matrons are the parents of the choir appointed by the choir
committee, they must not necessarily be members of the choir but must have
interest of the choir at heart. the responsibility of the P/M is to see to the well being
of the group, to ensure that the choir have all it takes for its growth, to support the

choir in organizing its events, to give advice to the choir.

c) SECRETARY

The Secretary is an honorary position to be elected from the membership of the


choir. The duty of the Secretary is to be a point of contact for the public and also to
take and record minutes of all choir meetings, the Secretary will notify the
committee members of meetings and also provide them with notice of agenda, the
Secretary will also write communication on behalf of the choir. The Secretary will
assist in the production and copying of sheets music and song sheets.

d) TREASURER:

The treasurer is an honorary position to be elected from the membership of the


choir. It is the responsibility of the treasurer to keep the account up to date and in
good order. The treasurer must keep the committee informed of the financial
position of the organization.

e) DISCIPLINE

The discipline is an honorary position to be elected from the membership of the


choir. The work of the discipline is to ensure that there’s orderliness in the choir,
he/she is responsible in disciplining any member that breaks the rules of the choir.

11. ROLES OF THE CHOIR COMMITTEE

The choir committee has the responsibility to ensure the organization meets its aims
and objectives and that members observe the constitution. The committee will also
receive the account of the choir and decide on fund raising actions and policy. The
committee will ensure that activities are carried out and decisions are made in a
democratic way and in the best interest of the choir. If necessary, the committee can
organize sub-committees to take on specific task such as finance or fund raising or the
organizing of a specific event. No member of the committee shall exercise their right to
power for the adverse affect of the choir

12. MEETING OF THE CHOIR COMMITTEE

The committee shall meet to discuss choir business and finance once every month,
however the committee can meet as often as required and a meeting can be called at
anytime by the Secretary, Patrons or matrons or the CM

13. Annual General Meeting (AGM) and Extraordinary General Meeting (EGM)

The AGM Shall normally be held 3rd Tuesday in January of each year.
The purpose of AGM shall be to:
 Elect a new honorary officers or to re-elect (Provided the three years of service elapse)
 To receive the report from the CM
 To receive the statement of accounts from the treasurer.

 To receive the report from the patrons/matrons


 To decide the amount of membership subscription
Matters can be debated at the AGM after prior notice has been given in writing to the
choir Secretary
EGM: An EGM Can be called at anytime provided the request has been made in writing-
proposed and seconded. At least seven days’ notice has to be given for any motion to be
raised at the EGM.
14. RULES AND REGULATIONS OF THE CHOIR

1. Every choir member must be a registered member, Must have filled and submitted
the membership form, must have a membership card, must have a copy of the choir
constitution

A new member that has not been to choir before must at least be a punctual member
for 3 months not absent for more than 3 rehearsals in 3 months

NM must pay …. Amount that will cover for constitution handbook, membership card
and registration

The choir committee or the vicar must be aware of any relationship between choir
members, (if you can’t meet the vicar, meet any of the choir officials.)

Any pregnancy out of wedlock will lead to indefinite suspension and the choir will not
buy gift in honor of the baby.

2. Member Code of Conduct and attire during rehearsals and Sunday service.

I.Submission of phones during rehearsals.


II.Dressing must be decent
III.No wearing of trousers for ladies
IV.No wearing of 3 qtr trousers for guys.
V.Skirts or gown should be below the knees
VI.No wearing of slippers or palm shoes during Sunday service
VII.No wearing of sleeveless.
3. Once in the choir seat no unnecessary noise making, people are watching you.
4. No unnecessary going out, If you must go out for any reason, quietly go into the
vestry and off your robe before going out.

5. Any lateness with 5 minutes attracts a fine or you will be sent back home and it will
be recorded as been absent for that day

6. Been absent in the choir without genuine reason attracts a fine too,

7. Been absent 3 times in a month will attract suspension for a week

8. If you have any observation or concern or anything you want the choir to know
kindly meet the Secretary in writing (this is because the Secretary is also a human and

can forget), all matters will be discussed at the choir committee meeting.

9. Any act of disrespect to any of the choir officer will attract suspension

10. Any choir member trying to taunt another choir member because he or she can’t
sing will attract a fine(we are all learning)

11. The choir robes will be washed once every month.

Note: Anybody suspended for any reason must tender an apology letter one to the vicar
and one to the choir committee, with a fine agreed by the committee.

CHURCH PERFORMANCE

All members should engage in a sense of the occasion and conduct themselves in a
manner fitting to the church at all times

15. SOCIAL ACTIVITIES

The social aspect of the choir is to be encouraged wherever possible. The choir as an
organization is to nurture a friendly atmosphere and social meetings are to be
encouraged. In addition, choir trips can be organized, members will be asked to pay
towards the cost of such trips.

16. FUND RAISING

The committee will arrange a number of fundraising events during the year and
members of the choir are expected to support as many of this events as possible.

Amendment of constitution

If there must be amendment of the constitution it must be proposed to the vicar in


writing.
