Introduction: What is Microsoft Word?
Microsoft Word is a computer program used for word processing (writing) purpose. It allows
you to create, edit, format, and print documents easily.

Designing simple posters and flyers (graphics design).
Making tables, forms, and schedules.
Inserting pictures, shapes, and WordArt for creative documents.

computer.
🟢Opening Word
Open Microsoft Word by clicking the Word icon on your computer.
The Word Screen
When you open Word, you see:
Title Bar (top) – shows the document name.
Ribbon (tabs: Home, Insert, Layout, etc.).
Page Area – where you type.
🧭 Title Bar
Located at the top of the screen.
Shows the name of your document and the Word app name.
You’ll also find Minimize, Maximize, and Close buttons here.
🧰 Ribbon Tabs
The ribbon is the toolbar with tabs like:
o Home – for formatting text
o Insert – for pictures, tables, shapes
o Design – for themes and watermarks
o Layout – for margins, orientation
o References – for citations
o Review – for spelling and comments
o View – for zoom and ruler
Shortcut to switch tabs:
o Alt key activates ribbon shortcuts.
o Example: Alt + H = Home tab, Alt + N = Insert tab
🧾 Creating a New Document
Click File → New → Blank Document to start a new page.
⌨️Typing Text
Just start typing on the blank page.
💾 Saving Your Work
File → Save As → Choose Location → Type Name → Save.
🎨 Formatting Text
Use the Home Tab:
Bold (B) → makes text darker.
Italic (I) → makes text slanted.
Underline (U) → adds a line under text.
Change Font (style) and Size (how big the text is).
Inserting Pictures
Insert → Pictures → This Device → Select Image → Insert.
🌀 Using WordArt
Go to Insert → WordArt.
Choose a style (colorful, curved, shadowed, etc.).
Type your text inside the WordArt box.
You can resize, rotate, or move WordArt on the page.
🔷 Using Shapes
Go to Insert → Shapes.
Choose a shape (circle, rectangle, arrow, etc.).
Draw it on your page by clicking and dragging.
Use the Shape Format Tab to change color, outline, and effects.
To add text: Right-click → Add Text.
🔢 Inserting Page Numbers
Click on the "Insert" tab at the top.
Click "Page Number" (you'll see a small icon).
Choose where you want the number to appear:
Top of page
Bottom of page
Page margins
Word will automatically add numbers to all pages.
📄 Zoom in/out the page view:
Go to View > Zoom or use the slider at the bottom-right corner.
Shortcut:
o Ctrl + Mouse Scroll Up = Zoom In
o Ctrl + Mouse Scroll Down = Zoom Out
🔐 Create or Remove a Password
Add a password to your document:
1. Go to File > Info > Protect Document > Encrypt with
Password
2. Type your password. Click OK.
Remove password:
1. Go to same place.
2. Delete the password and click OK.
📅 Insert Date and Time
Insert current date/time:
1. Go to Insert > Date & Time
2. Choose format (e.g., 02 September 2025 or 02/09/2025)
3. Check “Update automatically” if you want it to change daily.
Shortcut:
o Alt + Shift + D = Insert Date
o Alt + Shift + T = Insert Time

Create bullet list:
o Home > Bullets

Create numbered list:
o Home > Numbering
💧 Add a Watermark
Insert watermark:
1. Go to Design > Watermark
2. Choose “Confidential,” “Draft,” or create custom text/image watermark.
Insert a Text Box
Add a text box:
1. Go to Insert > Text Box
2. Choose a style or draw your own.
Shortcut: No default shortcut, but you can press Alt + N + X (Alt, then N for Insert, then
X for Text Box)

Split text into columns:
1. Select your text.
2. Go to Layout > Columns
3. Choose One, Two, Three, or More Columns.
↔️Text Direction in Tables
Change text direction inside a table cell:
1. Right-click inside the cell.
2. Choose Text Direction
3. Rotate text to vertical, horizontal, or rotated.
🧢 Adding Header and Footer
Insert → Header (top of the page) or Insert → Footer (bottom of the page).
Choose a built-in style, or click Edit Header/Footer.
Type text (like document title, author name, or date).
Insert page numbers: Insert → Page Number.
Click Close Header and Footer when done.
Shortcut:
o Alt + N + H = Header
o Alt + N + O = Footer

Insert → Table. Alt + N + T
Drag your mouse to select rows and columns.
Example: 3x3 table = 3 rows × 3 columns.
Type inside each cell.
Use Table Design & Layout tabs to:
o Add borders, shading, or colors.
o Merge cells (combine boxes).
o Adjust row height and column width.

Go to Design → Page Borders.
Choose Box, Shadow, 3D, or Custom styles.
Select Color, Width, and Art designs (like flowers, stars, etc.).
Apply to Whole Document or specific pages.
Click OK to add the border. Shortcut: Alt + G + P

Go to Insert → Symbol → More Symbols.
A box will open with many characters:
o Mathematical signs (÷, √, ±).
o Currency symbols ($, €, £, ¥).
o Special marks (✓, ©, ®).
o Shortcut: Alt + N + U + M
Select the symbol you want → Insert.
Symbols are useful in academic work, business, and reports.

Symbols are special characters (like ✓, ©, ☎) that you can insert into your document.

1. Make sure Num Lock is ON.
2. Hold down the Alt key.

16. Switching to Arabic Language
To type in Arabic:
1. First, add Arabic to your computer’s languages:
o Go to Windows Settings → Time & Language → Language → Add a Language →
Arabic.
2. In Word, switch the keyboard language:
o Press Alt + Shift (or Windows Key + Space) to switch between English and Arabic.
3. Arabic text writes from right to left automatically.
4. In Word, you can also set page direction:
o Layout → Paragraph → Right-to-Left.
17. 📐Page Layout
Use the Layout Tab to change margins, orientation (Portrait or Landscape), and spacing.
Shortcut:
Alt + P + M = Margins
Alt + P + O = Orientation
Alt + P + S = Size

File → Print → Choose Printer → Print.
