Workspaces

Workspaces let you organize the forms, templates, and assets inside your organization. Give each team, client, brand, or project its own workspace so its work stays together, and keep shared material such as your logo and standard templates in the Default Workspace so every workspace can reuse it.

Your organization sits at the top. Inside it, each workspace holds its own forms, templates, and assets. Everything else belongs to the organization and is shared by every workspace.

A form’s responses and workflows always travel with the form. If you move a form to another workspace, its responses and workflows move with it.

Workspaces organize your work; they don’t limit who can see it. Everyone in your organization can open every workspace, with the access their role allows.

Every organization has a Default Workspace. It’s named Main out of the box, sits at the top of the sidebar, and is marked Default. You can rename it and change its color or icon, but you can’t delete it.

How the Default Workspace works with your other workspaces

The Default Workspace is the shared home of your organization. Here’s how it connects to every other workspace:

  • Templates and assets are shared. Templates and assets saved in the Default Workspace appear in every other workspace’s Templates and Assets lists with a Shared badge, so a brand kit or a standard template only needs to live in one place.
  • Forms are never shared. Each form appears only in the workspace it belongs to, including forms in the Default Workspace.
  • Other workspaces stay separate. Items in any workspace other than the Default Workspace are visible only inside that workspace. Sibling workspaces can’t see each other’s forms, templates, or assets.
  • The image picker shows both. When you add an image while editing a form in any workspace, the picker lists that workspace’s own assets plus the shared assets from the Default Workspace.
  • It catches restored items. If you delete a workspace and later restore its items from Trash, they go to the Default Workspace.
  • It can’t be deleted. Because it holds your shared material and catches restored items, the Default Workspace has no Delete option.

If you move a shared template or asset out of the Default Workspace, it stops appearing in other workspaces. Fomr warns you in the Move to dialog before you confirm.

Workspaces live inside an organization. If you belong to more than one organization, or create a new one, each organization has its own Default Workspace and its own set of workspaces. Switching organizations from the organization menu at the top of the sidebar shows that organization’s workspaces. Items never move or appear across organizations.

Admins and Members can create, edit, and delete workspaces.

  1. In the sidebar, find the Workspaces heading and click + (New workspace)

  2. The New workspace dialog opens with a suggested name, such as Sunny Studio, and a matching icon. Keep the suggestion or type your own name of up to 40 characters. Each workspace in your organization needs a different name, and names that differ only in capitalization count as the same name.

  3. Choose one of the 10 colors. Fomr preselects the first color that no other workspace uses yet.

  4. Choose one of the 20 icons, or choose None to show the first letter of the name instead

  5. Click Create workspace

Fomr opens your new workspace right away.

On the Free plan, the + button shows the tooltip New workspace (Pro) and clicking it opens the upgrade prompt. Pro organizations can have unlimited workspaces.

  1. Hover over the workspace in the sidebar

  2. Click the … menu that appears in place of its form count and choose Edit

  3. Change the name, color, or icon

  4. Click Save

Drag a workspace up or down in the sidebar to change its position. The new order is saved for everyone in your organization. The Default Workspace always stays at the top.

Deleting a workspace moves all of its forms, templates, and assets to Trash, where you can restore them for 30 days.

  1. Hover over the workspace in the sidebar

  2. Click the … menu and choose Delete

  3. In the Delete [workspace name]? dialog, review how many forms, templates, and assets will move to Trash. If the workspace is empty, the dialog says so.

  4. Type the workspace name to confirm. The name is shown in a pill above the field, with a copy button you can use instead of typing it.

  5. Click Delete workspace

Published forms in the workspace go offline as soon as they move to Trash. The workspace itself can’t be restored. If you restore its items from Trash, they go to the Default Workspace. The Default Workspace has no Delete option, because it can’t be deleted.

Click a workspace in the sidebar to open it. Fomr opens the same section you were already on, so if you were looking at Templates in one workspace, clicking another workspace opens its Templates. Each workspace in the sidebar shows how many forms it holds.

The page title reads like a breadcrumb, for example Main / Forms. Click the section name to switch between the sections. Each section in the menu shows how many items it holds:

  • Forms: every form in the workspace, with a New form button
  • Templates: templates saved in the workspace plus shared templates from the Default Workspace, with a New template button
  • Assets: images saved in the workspace plus shared assets from the Default Workspace

Forms, templates, and assets share the same toolbar:

  • Search narrows the list by name.
  • Presets next to the search box apply a common filter in one click. Click an active preset again to clear it. Presets are hidden on small screens; use Filter instead.
  • Filter opens a checklist for each filter. Check one or more options, or uncheck one to remove it; the menu stays open while you pick, and the count on the button shows how many filters are on. Choose Clear at the bottom of the menu to remove them all.
  • Display is the icon button with sliders next to Filter. It switches between grid and list layout (forms and templates) and changes the sort order.

Pending publish finds published forms with edits that aren’t published yet. It’s available both as a preset and as a Status filter option. In the list, these forms have an amber outline.

Archived forms are hidden from the Forms list unless you check Archived under Filter → Status.

The Source filter shows only items that belong to this workspace (This workspace), or only items shared from the Default Workspace (Shared). The Default Workspace doesn’t offer the Source filter or the Shared preset, because everything in it already belongs to it. Filters are part of the page link, so you can bookmark or share a filtered view.

New forms, templates, and uploads are created in the workspace you’re in:

  • New form and New template on a workspace page create the item in that workspace
  • The New form button at the top of the sidebar uses the workspace you visited last
  • Images you upload while editing a form are saved to that form’s workspace. The image picker shows the workspace’s own assets plus the shared assets from the Default Workspace.

When you’re editing a form or template, the editor header starts with the workspace’s colored tile, then a /, then the form name. Hover over the tile to reveal a back arrow, and click it to return to that workspace’s Forms list (or its Templates list when you’re editing a template).

You can act on several forms, templates, or assets in one step.

  1. Hover over a card or row and tick its checkbox

  2. Tick more items, or click Select all N in the action bar to select everything in the current view

  3. Choose an action from the bar at the bottom of the page

The available actions depend on the list and on what you selected:

Move to Trash is shown in red, and Fomr asks you to confirm before anything moves. To clear the selection, click the × in the action bar or press Esc.

Archiving is the safe, reversible way to tidy up a workspace without deleting anything. When you archive forms, published ones are unpublished, all responses are kept, and you can unarchive the forms at any time. Archived forms are hidden from the Forms list. To find them again, open Filter, choose Status, and check Archived. Learn more about archiving forms.

Moving items between workspaces is a Pro feature. On the Free plan, Move to… in the action bar shows a Pro badge, and Move to… in a card’s … menu opens the upgrade prompt.

To move one form or template, open the … menu on its card and choose Move to…. To move several items, or to move assets, select them and choose Move to… in the action bar. Then pick the workspace to move them to.

Moving a form keeps everything about it the same:

  • Its responses and workflows move with it
  • Its published link keeps working
  • Its custom domain stays connected

To copy a form or template, open the … menu on its card and choose Duplicate. The copy is created in the same workspace as the original and opens in the editor. Move it afterwards if it belongs somewhere else. Learn more about form duplication.

Nothing is locked, moved, or merged. Your existing workspaces stay fully usable: you can open them, create forms in them, rename them, and delete them.

Only two things require Pro again:

  • Creating new workspaces
  • Moving items between workspaces

Workspaces come with a reorganized sidebar. From top to bottom:

  • Organization menu: click your organization’s name at the top to switch to another organization or create a new one with New organization
  • New form: creates a form in the workspace you visited last
  • Workspaces: every workspace in your organization, with the + button next to the heading for creating a new one. The Default Workspace is pinned first and labeled Default, and each workspace shows a badge with its number of forms. When your organization has more than 8 workspaces, a Search workspaces box appears above the list.
  • Trash: forms, templates, and assets deleted in the last 30 days, with a badge showing how many items it holds. Learn more about Trash.
  • Template gallery: ready-made templates to start a form from
  • Settings: swaps the sidebar for the settings pages. Click Back at the top to return to your workspace. Settings are grouped into Account (your Account page) and Organization (General, Team members, Domains, Integrations, and Billing, which opens the billing portal).
  • Usage card: your plan and storage used, plus an Upgrade to Pro button on the Free plan
  • Account menu: your avatar, name, and email at the bottom. Click it to see your profile card with your name, email, and the date you joined, and to Logout.

Which settings pages and sidebar items you see depends on your role.

Can I limit a team member to certain workspaces?

No. Workspaces organize your work but don’t control access. Team members and roles apply to the whole organization, so everyone can open every workspace.

No. A moved form keeps its published link, custom domain, responses, and workflows.

What happens to forms in a workspace I delete?

They move to Trash, along with the workspace’s templates and assets. Published forms go offline. You can restore the items for 30 days, and restored items go to the Default Workspace.

Why do I see templates or assets I didn’t add to this workspace?

Templates and assets in the Default Workspace are shared with every workspace and carry a Shared badge. To hide them, open Filter, choose Source, and check This workspace.

Can I share a template with only some workspaces?

Sharing works through the Default Workspace, which shares with every workspace. To make a template available in a few specific workspaces only, duplicate it and move each copy into the workspace that needs it.

No. Storage belongs to your organization and is shared by all of its workspaces. Check your usage in the usage card at the bottom of the sidebar.

Can forms in any workspace use our custom domain and Google Sheets connection?

Yes. Custom domains and integrations belong to the organization, so forms in every workspace can use them.

Free organizations have the Default Workspace only. Pro organizations can have unlimited workspaces.
