Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • A formal block-styled cover letter that provides:
    1) affiliation letterhead or address with the date,
    2) an opening salutation,
    3) introductory paragraph that provides the title of your manuscript, the type of paper (i.e., research, literature review, case study, report from the field, etc.), and which issue the submission is for (i.e., unsolicited, regular issue, or special issue (include topic/theme and guest editor name(s)), plus an optional second paragraph can describe the scope and significance of the submission,
    4) a concluding paragraph that conveys that the submission has not been previously published, nor is it before any other journal for consideration, and discloses whether AI tools were used for data collection, analysis, or writing assistance in drafting paper sections or conducting literature reviews.
    5) corresponding author's name and signature (can be electronic) in the closing.

  • Your manuscript in Microsoft Word, Open Office, or RTF file format. PDF files will be returned.
  • APA Style Citation style adheres to APA 7th edition. DOIs and URLs are provided for reference entries. All citations must be in plain-text, free of embedded citation software. Papers that do not conform to APA style, and/or with incomplete reference lists or formatted with embedded citations will be returned.
  • MANUSCRIPT FORMAT:
    1) 1" margins around
    2) paginated on the upper right margin, per APA
    3) in paragraph block-style (i.e., single-spaced, non-indented paragraphs with one double-space between)
    4) appropriate headings and sub-headings, per APA
    5) 12-point Times New Roman font
    6) employs italics, rather than underlining (except with URLs in the reference list)
    7) illustrations, figures, and tables are placed within the text, rather than at the end
    8) any appendices are after the text but before the reference list

SUBMISSION SPECIFICATIONS. New manuscripts must be submitted through the IJIDI submission portal. The following files are mandatory:

File #1The cover letter introducing your manuscript (please include title) and stating that the manuscript, or parts of it, have not been and will not be submitted elsewhere for publication (uploaded as Supplementary File when prompted by the system). The cover letter should be in formal, block-style format, dated and signed by the author.

File #2The IJIDI Submission Title Page with all fields completed. Please download the IJIDI Submission Title Page and submit it with your manuscript (uploaded as a Supplementary File when prompted by the system).

Word count. Research articles are typically 10K - 15K words. Feature articles or reports from the field (usually research-oriented essays) are generally 2.5K - 5K words. Page and word length can be flexible, depending on the topic and depth of research.

Tables, figures, and images. All illustrations, figures, and tables should be placed within the text.
Image/illustration files should also be submitted as separate files. 

Links in-text. Links in the manuscript should be provided as end notes. The journal does not accept embedded links in-text.

Revised manuscripts. Manuscripts that are revised in response to editor desk preview and blind peer review should be accompanied by a separate file with responses to reviewers' comments or an explanation of why those comments could not be addressed. LANGUAGE

The IJIDI is an English-language publication. Your manuscript should be written in grammatically and stylistically correct American, British, or Canadian English; authors should be consistent in their usage. Authors are strongly encouraged to have their papers professionally edited and proofread before submission. Numerous stylistic and grammatical errors and awkward language will not pass the Editor's desk preview and will be returned to you for revision. Grammar checker applications such as Grammarly or Writer may prove to be helpful to ensure that your paper is highly legible for a scholarly, English-language reading audience.

ARTICLE STRUCTURE

Abstract

A concise and factual abstract is required (no more than 250 words). The abstract should briefly state the purpose of the research, the principal results, and significant conclusions. An abstract is often presented separately from the article, so it should stand on its own. For this reason, references in the abstract should be avoided, particularly non-standard or uncommon abbreviations. However, if abbreviations or acronyms are essential, they must be defined at their first mention in the abstract itself.

The abstract should be provided in the IJIDI Submission Title Page and on the first page of your manuscript, with accompanying keywords.

Headings and Sub-headings

Divide your article into clearly defined sections. Section headers should conform to the APA hierarchy of headings. Each heading should appear on its separate line.

Appendices

If there is more than one appendix, they should be identified as A, B, C, etc. Formulae and equations in appendices should be given separate numbering: Eq. (A.1), Eq. (A.2), etc.; in a subsequent appendix, Eq. (B.1), and so on. Similarly for tables and figures: Table A.1; Fig. A.1, etc.

Abbreviations

Define abbreviations at their first mention in the text. Ensure consistency of abbreviations throughout the article.

Acknowledgements (if applicable)

For your submission, provide an Acknowledgements section in your paper, but leave the content blank for blind peer review. Instead, include the acknowledgements content in the "Acknowledgements" section of the IJIDI Submission Title Page so that if your paper is accepted for publication, the content can be added to the manuscript during the production process. 

Footnotes

Footnotes should be used sparingly. Number them consecutively throughout the article. Many word processors can build footnotes into the text, and this feature may be used. Otherwise, indicate the position of footnotes in the text and list the footnotes separately at the end of the article. Do not include footnotes in the Reference list.

Electronic Artwork

  • Make sure you use uniform lettering and sizing of your original artwork.
  • Embed the used fonts if the application provides that option.
  • Aim to use the following fonts in your illustrations: Arial, Courier, Times New Roman, Symbol, or use fonts that look similar.
  • Number the illustrations according to their sequence in the text.
  • Use a logical naming convention for your artwork files.
  • Provide captions to illustrations separately.
  • Size the illustrations close to the desired dimensions of the published version.
  • Submit each illustration as a separate file.
  • Formats
    • If your electronic artwork is created in a Microsoft Office application (Word, PowerPoint, Excel), please supply 'as is' in the native document format.
    • Regardless of the application used other than Microsoft Office, when your electronic artwork is finalized, please 'Save as' or convert the images to one of the following formats (note the resolution requirements for line drawings, halftones, and line/halftone combinations given below):
      • EPS (or PDF):  Vector drawings, embed all used fonts.
      • TIFF (or JPEG): Color or grayscale photographs (halftones), keep to a minimum of 300 dpi.
      • TIFF (or JPEG): Bitmapped (pure black & white pixels) line drawings, keep to a minimum of 1000 dpi.
      • TIFF (or JPEG): Combinations bitmapped line/halftone (color or grayscale), keep to a minimum of 500 dpi.

For electronic artwork files, please do not:

  • Supply files that are optimized for screen use (e.g., GIF, PNG, BMP, PICT, WPG); these typically have a low number of pixels and a limited set of colors;
  • Supply files that are too low in resolution;
  • Submit graphics that are disproportionately large for the content.

References and in-text citations 

In-text citations and the reference list must be in APA style, 7th edition. Please ensure that every reference cited in the text is also present in the reference list (and vice versa). Unpublished results and personal communications are not recommended in the reference list but may be mentioned in the text.  If these references are included in the reference list, they should follow the standard reference style of the journal and should have a substitution of the publication date with either 'Unpublished results' or 'Personal communication.' The citation of a reference as 'in press' implies that the item has been accepted for publication.

Citations in the text should follow the referencing style used by the American Psychological Association (APA).

The reference list

References should be arranged first alphabetically and then further sorted chronologically if necessary. More than one reference from the same author(s) in the same year must be identified by the letters 'a', 'b', 'c', etc., placed after the year of publication. Include the full title of the journal cited.

Supplementary material

IJIDI accepts supplementary electronic material to support and enhance your research. Supplementary files offer the author additional possibilities to publish supporting applications, high-resolution images, background datasets, sound clips, and more. Supplementary files supplied will be published online alongside the electronic version of your article. Please provide the data in one of our recommended file formats to ensure that your submitted material is directly usable. Authors should submit the material in electronic format together with their article and supply a concise and descriptive caption for each file. Ensuring a Blind Peer Review

  • To ensure the integrity of this journal's double-blind peer-review process, every effort should be made to prevent the identities of the authors and reviewers from being known to each other. This anonymity involves the authors, editors, and reviewers (who upload documents as part of their review) checking to see if the following steps have been taken regarding the text and the file properties.
  • The authors of the document have deleted their names from the text, with "Author" and year used in the references and footnotes, instead of the authors' name, article title, etc.
  • With Microsoft Office documents, author identification should also be removed from the file's properties by clicking on the following prompts starting from the main menu of the Microsoft application: File > Save As > Tools > Security > Remove personal information from file properties.
  • With PDFs, the authors' names should also be removed from the Document Properties menu, which is found under File on Adobe Acrobat's main menu.

Conflict of interest

All authors should declare any potential conflict of interest that may be involved in preparing and publishing their manuscript.

Submission declaration and verification

IJIDI publishes original content. Submission of an article implies that the submitted work has not been published previously (except in the form of an abstract, as part of a published lecture or academic thesis, or as an electronic preprint). Previously published conference papers will be considered only if the paper is substantially revised. In addition, submission to IJIDI indicates that the manuscript is not under consideration for publication elsewhere and that its publication is approved by all authors and tacitly or explicitly by the responsible authorities where the work was carried out.

Changes to authorship

Prior to publication: Requests to add or remove an author, or to rearrange the author names, must be sent to the journal editor from the corresponding author of the accepted manuscript and should include: (1) the reason the name should be added or removed, or the author names rearranged, and (2) written confirmation (e-mail, fax, letter) from all authors that they agree with the addition, removal or rearrangement. In the case of the addition or removal of authors, this includes confirmation from the author being added or removed. Requests that are not sent by the corresponding author will be forwarded to the corresponding author to comply with the above process, who must follow the procedure described above. The IJIDI will suspend publication of the accepted manuscript until authorship has not been agreed upon. If the manuscript has already been published, any requests to add, delete, or rearrange author names in an article published in an online issue will follow the same policies/procedures noted above and result in a corrigendum.

Role of the funding source

If applicable, authors should identify who provided financial support for the research and preparation of the article. Authors should briefly describe the role of the sponsor(s) as appropriate in study design, data collection, analysis, and interpretation, report writing, and the decision to submit the article for publication. If the funding source(s) had no such involvement, then this should be stated.

Author affiliation

For publication purposes, authors need to use affiliations they had at the time of research completion and/or article submission.

Book review guidelines

The International Journal of Information, Diversity, & Inclusion (IJIDI) reviews new non-fiction books on the intersection of equity, diversity, social justice, and information relevant to its readers. The IJIDI uses a diversity and inclusion lens to review books of interest to scholars, researchers, and practitioners in the library and information science and related fields for the purposes of professional development, collection development, student education, and readers' advisory.

Book reviewers

The Book Review Editor selects books, but title suggestions are appreciated. The IJIDI welcomes reviewers from diverse backgrounds and geographic locations. We welcome reviewers from all parts of the world.  Prospective reviewers may write to the Book Review Editor indicating their qualifications and special areas of interest.

Submission basics

All new and revised book reviews must be submitted through The International Journal of Information, Diversity, & Inclusion (IJIDI) online submission and review website (https://jps.library.utoronto.ca/index.php/ijidi/index). Book reviews should be about 1000-1500 words.

The following files are mandatory during submission:

  1. The main text of your book review (uploaded as Submission File when prompted by the system). Acceptable formats for the book review text: Microsoft Word or RTF files or .pdf (excluding scanned .pdf files).
  2. The title page with all mandatory fields completed. Please download the IJIDI Book Review Submission Title Page and submit it along with your file (uploaded as Supplementary File when prompted by the system).

Other formatting requirements

The text should be double-spaced; use a 12-point font Times New Roman and 1-inch margins around; employ italics, rather than underlining (except with URL addresses).

Language

Your book review should be written in grammatically and stylistically correct English (any English is acceptable insofar as authors remain consistent in their usage). Authors who feel that their language requires editing and/or proofreading are strongly encouraged to have their papers professionally edited and/or proofread before submission. Numerous stylistic and grammatical errors and awkward language may ruin an impression of an otherwise worthwhile paper.

Book review structure

  1. Each book review will start with the book citation using APA style (7th edition) and including the ISBN-13, the number of pages, and the book's price in US dollars. For example,

  2. Book reviews will not normally require references, but if needed, please use APA style and the reference style examples listed under submission guidelines for articles (http://publish.lib.umd.edu/IJIDI/about/submissions)

Conflict of interest

To ensure objectivity, reviewers should refrain from reviewing books written by authors with whom they have had close professional or personal relationships. Reviewers who feel that, for any reason, they cannot provide an unbiased review of a specific title should refrain from reviewing this title or decline to review it, if asked.
