ARTICLE I: NAME AND PURPOSE

SECTION 1: NAME
The name of the club is “SOUTH EASTERN KENYA UNIVERSITY ACTUARIAL STUDENTS
ASSOCIATION” abbreviated as SEKUASA. Referred to as the club after this section.

SECTION 2: PURPOSE/ MISSION

The club provides students studying actuarial science at SEKU with the opportunity to;
a. Develop industry knowledge by attending presentations given by experienced
professionals
b. To network with peers and employers
c. To seek mentor ship of upper class men.

ARTICLE II: MEMBERSHIP

The club restricts membership to students in the department of mathematics and statistics, faculty
members and staff members of the university.

The club will not deny membership in terms of race, colour, religion, nationality, gender, age,
disability, citizenship, gender identity or gender expression.

Basic membership in the club requires students to currently be enrolled in SEKU and only from the
above named department.

Two types of members:


1. Active members
2. Non-members
Active members:
Are those who pay the club dues of registration Ksk100 and renewals of Ksh100 for the entire
academic year or Ksh50. This is open to amendment for an increase but not a decrease in the
amount to be paid.

All Actuarial Science students MUST be active members of the club.


Active members have access the benefits of the club such as;
i. paying a subsidised or no fee in attending clubs professional talks,
ii. Getting the first priority in clubs’ job shadowing events
iii. Attending club meetings

Non active members:


Are those who do not pay the clubs dues.
Can attend meetings but don’t have the same benefits as the active members.

MEMBER REMOVAL
Members may be removed from the club if they:
Disrupt other members or presenters during club activities.
Create a negative atmosphere in the club.

If it becomes necessary to remove a member, an officer will have a meeting with the said member
to discuss the issues and then decide if the removal process should proceed.

ARTICLE IV: OFFICERS.

PRESIDENT:
I. Preside over all events hosted by the club.
II. Schedule club meetings and the officers meetings.
III. Plan the agenda for and preside over the meetings of the executive board.
IV. Schedule room, date and time for events.
V. Communicate event details to the membership.
VI. Serve as a mentor to the general membership as a whole.
VII. Any other additional duties.
VIII. Serve as a liaison between the department and SEKUASA.

DEPUTY- PRESIDENT.

I. Interact with industry professionals to coordinate speaker presentation, company visit and
job shadowing events for the club.
II. Compose, prepare and mail “thank you notes” to the professionals who speak at the club
events.
III. Compose, prepare and mail all invitation letters to professional who speak at the club
events.
IV. Serve as an additional insight to the president.

ORGANISING SECRETARY.(OGS)

I. Plan and organise social events of the club.


II. Notify the secretary/treasurer of all event amenity expenses for record keeping purposes.
III. Update and maintain all social network accounts.

VICE ORGANISING SECRETARY.

I. Coordinating efforts to recruit new members.


II. Together with the OGS to organise and lead fundraising events to raise money for new
initiatives.

SECRETARIES.

I. Put down the club executive meeting minutes.


II. Compile the reports for, after club events end of semester reports.
III. Responsible for designing all clubs memo.

FINANCIAL DIRECTOR.

I. Create and organise a budget for the semester and year.


II. Record all time transactions of clubs.
III. Prepare yearly accounting statements.

Officers are selected through an election.
If it becomes apparent that an officer is not doing his/her job, the other officers will meet to discuss
if it is necessary to remove them from their position. All other officers must unanimously decide to
remove the remaining negligent officer. Then it will be up to the remaining officers to decide if they
want to split up the work of the removed officer or hold a special election for the newly opened
position.

Officers are not tied to their delegated responsibilities. They all can tailor other responsibilities or
assist other officers in theirs.

ARTICLE. V: MEETINGS.

Meetings will be held during the first the start, the mid and the end of every month from
2PM- 4PM.

The officers can change the scheduled time and do so if they seem fit. Also the officers can are
allowed to hold special meetings if they would like to. This could be for event planning and can be
anytime during the week.

At our monthly meetings we have everyone in attendance in to track attendance numbers and
receive a point for doing so.

ARTICLE VI: CLUB ADVISOR/ PATRON.

The club should have an advisor who is not enrolled as a student at the university and serves as
either;
a part time or full-time lecturer of the university.
he/she must be a lecturer in actuarial science.

We have one advisor who helps;


relay information to interested students about club events.
Forwards information pertinent to officers to ensure the club is doing well and abiding by all
university regulations.

Should our current club advisors have to abandon their position, the current officers will have to
search for a new advisor that fits the requirements listed above. The outgoing advisor will hopefully
be able to help in this process.

ARTICLE VII: FINANCES.

SECTION 1: DUE AMOUNTS:


 A subject to change from semester to semester.
 Currents are Ksh100 for new members registration and Ksh50 per semester renewals.
 Turn non-active members to active.
 Are also subject to any discounts the officers deem fit to entice members paying dues quickly and
efficiently.
 Are collected at club meetings by the financial director or another officer in absence of the
financial director.

SECTION 2: THE BUDGET.
 The financial director in charge of keeping a budget that reflects the needs and goals of the
club.
 The budget is always available for other officers to look over and make suggestions, but all
final changes are at the financial director’s discretion.

ARTICLE VIII: ELECTIONS.

 We hold elections during one of our meetings around the beginning of a new academic year.
 Members are notified of the elections in advance.
 Anybody interested in running has to sent an application letter to the current board of officers and
must be an active member with 70% and above meeting attendance score.
 Nominees for each position to prepare a 1-2 minute speech answering why they want to be an
officer in the club and specifically what they would bring to the position.
 After the presentation, all members in attendance to vote and the new officer is the most votes.

ARTICLE IX: AMENDMENTS AND CHANGES TO THE CONSTITUTIONS.

Recommendations for changes or amendments to the constitution will be brought to the executive
board of the Actuarial club for the advertisement.

Change or amendments will be deliberated and decided upon by the executive board. Approved
change will be announced by the president to the general membership.

ARTICLE X: UNIVERSITY POLICIES.

The club and its membership agree to adhere to national laws and university policies. However the
club cannot be held responsible for actions of individual members inside or outside of events and
activities hosted the club.

A member of the club who violates university policy national laws may be dismissed from the
organization pending majority vote by the executive board.
