FORMAL LETTER
Q : what is formal letter?

■ The formal letter is a professional, structured , and written


communication that is use for official purposes.
■ It is written in formal language, and prescribed format.
• Characteristics of formal letter :

■ Format : The formal letter follow a specific format including the sender’s
and recipient’s addresses a formal greeting ,a closing line ,and a clear
subject line
■ Tone : . Formal letters have a professional and official tone .
■ Language : Formal letter use formal language , which is less personal than
informal language. Formal language avoid contractions and first person
pronounce.
■ Point of view : Formal letter are usually written in first or third person.
■ Purpose : Formal letter are often use for serious purpose such as, job
problem ,or school application etc.
Format :

1. Sender’s address :
The letter start with the sender’s address ( your address ) at the top left.
Example :
123 Green Street
New York,NA 10001
2. Date :
The date when the letter is written is placed below the sender’s address.
Example:
January 29,2025

3. Recipient’s address:
This section include the name, title and address of the person or organizations, you’re
writing to
Example:
Mr.john smith
Manager
XYZ company
456 Oak Avenue
Los Angeles , CA 10093
4 . Subject line:
( optional but recommended).
The subject line summerizes the purpose of letter in one sentence or phrase.
It makes the reader aware of the topic at glance.
Example:
Subject: Introduction as a New supplier.
5 . Salutations:

The formal greeting is used to address the recipient’s.


Example:
Dear Mr.Smith
( Use” Dear Sir/ Madam” if recipient’s name is unknown).
6. Body of the letter:

The body dividid into clear paragraphs:


1. Introduction paragraph.
2. Detailed paragraph.
3. Closing statements.
7 . Closing phrase:

Skip one line after the last paragraph of the body of the letter and write the closing .End
with a formal closing phrase like “ Yours sincerely” ,”Yours faithfully “ .
Example:
Yours sincerely,
8 . Signature:

Leave a few lines after the closing and type or print your signature.
Sign the letter ( for physical copies) , and below the signature write your full name .
