MS PowerPoint Details and Features

Microsoft PowerPoint (MS PPT) is a presentation software developed by Microsoft, widely used for
creating slideshows composed of a series of slides. It is part of the Microsoft Office suite and integrates
seamlessly with other Office applications like Word and Excel. PowerPoint helps users create
professional presentations through text, images, graphics, and multimedia content.
Key Features:
• Slide-based interface: Structure your presentations using individual slides.
• Themes and templates: Pre-designed themes and templates for professional-looking slides.
• Multimedia support: Incorporate images, audio, and video into your presentations.
• Animations and transitions: Add effects between slides and within slide elements.
• Collaboration tools: Multiple users can work on a presentation simultaneously via cloud.
• Presenter view: Provides notes, timers, and other presentation tools visible only to the
presenter.

2) Describing Different Features of MS PowerPoint


• Themes: A theme defines the overall look and feel of your slides, including fonts, colors, and
backgrounds. PowerPoint offers built-in themes, and you can customize them or create your
own.
• Slide Layouts: Different layouts are available to organize content such as titles, text, images,
charts, or media files.
• Text Formatting: Like any word processor, PowerPoint offers a range of text formatting
options (font type, size, color, alignment, and spacing).
• SmartArt: A feature that enables the creation of diagrams and flowcharts to visually represent
information.
• Charts: Insert various types of charts (bar, line, pie, etc.) directly into your slides to represent
data visually.
• Media Integration: You can embed videos, sound clips, and images into your slides.
• Slide Show View: Allows you to preview how your presentation will appear to the audience.

3) Guidelines for Preparing a PPT File
• Keep it Simple: Avoid cluttering slides with too much information or too many design
elements.
• Use Consistent Design: Stick to a uniform color scheme, font size, and layout for a
professional appearance.
• Bullet Points Over Paragraphs: Use concise bullet points instead of full paragraphs to make
information easily digestible.
• Visuals Over Text: Where possible, use charts, images, and diagrams to convey information
instead of long texts.
• Limit Transitions and Animations: Excessive use of animations and transitions can be
distracting.
• Readable Fonts: Use easy-to-read fonts like Arial or Calibri and ensure proper font sizes
(minimum of 24 pts for headers and 18 pts for text).
• High Contrast: Make sure the text color contrasts well with the background to ensure
readability.
• Add Speaker Notes: Include notes to help during the presentation, but keep them separate
from the slides for the audience.

4) Describing Animation, Trigger, and Transition


Animation: Animations allow you to control how and when objects (text, images, shapes, etc.) appear
or exit on a slide. PowerPoint offers four types of animations:
• Entrance: How an object appears on the slide.
• Emphasis: Focus attention on an object already on the slide.
• Exit: How an object leaves the slide.
• Motion Paths: Define the movement of an object across the slide.
Trigger: Triggers in PowerPoint allow you to start an animation based on a specific event (e.g.,
clicking a specific object). This adds interactivity to the presentation. For example, you can have an
animation begin only when a specific button or image is clicked.
Transition: Transitions are effects that occur when moving from one slide to the next. PowerPoint
offers several types of transitions:
• Subtle: Simple transitions like Fade or Push.
• Exciting: More dynamic effects like Wipe or Split.
• Dynamic Content: Moves only the slide’s content, not the background.
Each transition can be customized with effects like speed, direction, and sound.

5) Procedure to Prepare a Photo Album
A Photo Album is a great feature in PowerPoint that allows you to create a slideshow with photos:
1. Open PowerPoint and click the Insert tab.
2. In the Images group, click Photo Album, then choose New Photo Album.
3. In the dialog box that appears, click File/Disk to select images from your computer.
4. You can reorder images, adjust brightness/contrast, and rotate or add captions.
5. Choose a picture layout (e.g., 1, 2, or 4 pictures per slide).
6. Customize the album’s design by adding frames or themes.
7. Once done, click Create, and PowerPoint will generate a new presentation with your selected
images.
Auto Loop of Slides
To make your slides automatically loop (i.e., repeat) after the last slide has been presented:
Set the presentation to run automatically:
1. Click the Slide Show tab in the ribbon.
2. Choose Set Up Slide Show.
3. In the dialog box, under Show options, check Loop continuously until 'Esc'.
4. Click OK.
This ensures that the presentation loops indefinitely until the user presses the Esc key to stop it.

6) How to Prepare a Master Slide


A Master Slide controls the design and layout for multiple slides in your presentation. It ensures
consistency across all slides.
1. Click the View tab, then select Slide Master.
2. The slide master appears, showing various layouts (title, content, section headers).
3. Edit the master slide’s layout, fonts, colors, and positioning. Changes here apply to all slides.
4. To add elements like logos or watermarks that appear on every slide, add them to the slide
master.
5. Once customization is complete, click Close Master View in the ribbon to return to your
presentation.
You can have different slide masters for different sections of the presentation by inserting new masters.

7) Other Remaining Features of PPT
• Zoom: Create dynamic, interactive navigation between slides using the Zoom feature. It allows
you to zoom in and out between sections, slides, and summaries.
• 3D Models: PowerPoint supports inserting 3D models that can be rotated and animated within
the slides.
• Screen Recording: PowerPoint allows screen recording directly into slides for tutorial-style
presentations.
• Hyperlinks: You can add hyperlinks to text, images, or shapes, linking to web pages or other
slides.
• Presenter View: Offers tools like a timer, preview of the next slide, and speaker notes visible
only to the presenter during the presentation.
• Morph Transition: A sophisticated transition effect that animates objects as they move, grow,
or change shape from one slide to the next.
• Broadcasting Slide Show: You can share your presentation with remote audiences using
PowerPoint’s broadcasting features.

9) Slide Timing
You can set a specific duration for each slide to automatically move to the next one, allowing the
presentation to run on its own without manual intervention.
1. Record slide timings manually:
o Click the Slide Show tab, and select Rehearse Timings.
o The presentation will start, and a timer will appear. Practice your presentation, and
when you move to the next slide, the timing will be recorded automatically.
o Once you've gone through all slides, PowerPoint will ask if you want to save the slide
timings.
2. Set specific slide timings manually:
o Go to the Transitions tab.
o In the Timing group, uncheck On Mouse Click (to disable manual advancement).
o Check After and specify the time (in seconds) for how long each slide should appear
before automatically transitioning to the next one.
o Repeat for all slides, or use the Apply to All option to apply the same timing to every
slide.
