TILL

User Guide
TILL

Available from the main menu are the following functions:

1. X Read

This facility allows you to check the till contents at the present time and in order to access it
you will first have to enter the necessary security, as dictated by your system settings. Once
done the following ‘Brief Report Screen’ will appear:

On the bottom left it will show when the last Z total was done and on the bottom right you
will have a list of options available. Above this, is displayed the various totals taken this
session, previous till lift amounts and current Time, Date, Session Number and Till Number.

Below is an example of a ‘Detailed Report’ which is one option given on the bottom right
hand side of the screen. Others options include ‘Foreign Currency’, ‘Print’ and ‘Open Drawer’
facilities.

2. Z Read

This facility is available in 2 parts. Part 1 closes the trading session and Part 2 allows takings to
be declared.

Z Read (Part 1)
Allows you to close the session and can only be actioned from the Till. It is accessed by
selecting the Z Read (Part1) option from the Till main menu.

If Z Read (part 2) has been set up for declaration within the Cash Office facility in the back
office and has not yet been carried out for the previous session for this till then a warning
message will appear advising that the Z Read (Part 1) option is not available until cash up has
been effected in the Cash Office.

When selected, you will be required to input any password necessary to satisfy the set
security and then following screen will appear and you will be asked to input the amount of
float to be left in the till.

This will close the session and a report will be printed showing the date and time. This may be
accompanied by a printed X Reading if set to do so.

Z Read (Part 2)

Facilitates declaration of the monetary denominations being cashed up at the end of a


session. There can be a number of Z2 declarations done in a single trading day.

The Z Read (Part 2) will be available on the Till main menu (or the Cash Office main menu
depending which option was chosen during the initial set up) and can only been done once
the Z Read (Part 1) has been carried out on the Till.

On selecting the option from the main menu, you will be first required to pass any security
checks before being taken into the screen shown next. If the Z Read (Part 1) has not been
done on the chosen till, a warning message will appear advising you of such and you will be
prohibited from going any further.

Proceed through each of the fields entering in the necessary values. When performing the last
Cash Up in a session, only the balance of cash left in the till needs to be included in the
declaration. Once all fields have been completed, options will appear on the bottom right
hand side of the screen, select ‘C’ and the amounts entered will be recorded as the banked
totals and a report printed off showing the banked amounts, whereas ‘R’ allows you to go
back and re-declare, ‘P’ gives a printout of any details entered and ‘ESC’ returns to main menu
without committing the entries. Any discrepancy, between the amounts recorded on the till
and the declared amounts, is highlighted to the right of the figure the user has input.

3. Till Lift

This is a facility which allows you to take money out of the till without closing the session and
can be done at any time.

On selecting the option from the main menu, you will be asked for the required security
before being taken into the following screen. At this point you can either select ‘O’ which will
purely open the cash drawer or go through each of the fields entering in the amounts of the
various denominations to be taken from the till. When complete, selecting ‘C’ to Confirm will
now regard this as a Till Lift, the money is recorded for banking purposes and a report printed
showing the amounts withdrawn. Any future X reads or Z reads in the session will now
incorporate this information.

4. Petty Cash

This facility allows you to take cash out of the till (the amount is controlled through the Back
office) i.e. for paying the window cleaner, buying stationery, etc.

When you select Advance you will be prompted to enter the amount.

The ‘No’ represents the petty cash receipt number. As mentioned above the limit is set in the
back office.

When you select Declaration you will be able to register details of the spend against the
appropriate petty cash number using the following screen:

Down the left hand side you will see all the outstanding advances, scroll through using the
cursor keys, or touchscreen, and select your advance by pressing enter, then enter details as
required (Category and Vat Code are set in the back office and appear in the form of drop

down lists). Use ‘ESC’ at any point to abort and at end ‘Confirm the declaration’ with Yes or
discard with No and return. If confirmed and you have more than one declaration to enter
against your advance, select ‘No’ to ‘Is the ££.pp Change’ and you will be able to enter the
next set of details and repeat until all declarations have been effected. Otherwise, signify
there is change to return to the drawer and end the declaration process.

5. Log Cashier On

Depending on your security settings this may involve entry of password as well as operator
identifier.

6. Close Till

This will exit the till programme and screen will return to the “Till Launcher” shown below:

7. (Return to) Sale

To enter the Sale function you may have to first logon (option 5) with your assistant number
and password, depending on your security settings.

Once you have passed any security access checks required and entered the main selling
screen you will then be able to carry out all sales related functions via a number of actions
and responses to system prompts.

The full set of actions required to operate the main transactions are shown below but these
will vary as dictated by the system settings in place.

The above 3 screens shown are (i) the prompt screen for entry of customer code or search
criteria, (ii) a list of results from a search and (iii) a record selected from the list. At this stage you
can confirm this as the required customer record or Retry your selection.

group of buttons or before a product it’s self.

Layaway

There’re three types of Layaway - Normal/Quick, Order, Quote. Each transaction stored is given a
unique number and for Order or Quote you are able to append a name, address and reference if
required. These can be utilised to recall a previously stored layaway for further processing or
finalisation.

To store an incomplete sales transaction select Layaway key part way into the sale and you will
get the option of the type you want – i.e. Normal/ Quick, Order or Quote. Recall can only be
initiated before any sale lines are entered.

Normal / Quick
This type of layaway would be used for a temporary layaway (customer has left cheque book in
car or has forgot to buy something and wishes to continue shopping).

No details additional to the sale are required. The system allocates a number for recall purposes.

Order
This type of layaway would be used for transactions where items are not in stock and to handle
deposits and staged payments.

Customer Name and Address details are requested and may be entered, along with Delivery
Address (if different) and a Reference. Also allows a Deposit (or part payment) to be taken using
the standard Tender facilities.

Quote
This type of layaway would be used to record a quotation offer which can be recalled at a later
date and converted to an order or discarded.

Recall
You can recall a previously stored layaway to a sale before any line details are entered. You can
recall by entry of the Number, you can search by Name, Customer Address, Post Code or
Reference or you can enter ‘ALL’ and you will be able to navigate all current transactions to select
the layaway you require.

Once recalled you are in normal sales mode and you can add or remove lines and layaway again,
as required.

Function Keys

The following functions are available at the till and are normally operated using either the
buttons on a touch compatible screen or the dedicated keys on a specialist Epos keyboard.
Alternatively you can select from the list provided on the point-of-sale screen via a mouse, or
with a standard pc keyboard you can use the Alt key together with the letter underscored and
also the F1-F12 function keys if assigned.

(F1) Repeat: Repeat previous product

(F2) Discount: You can apply a discount to products at Line or Total (not both) either by % or

value. Use the same key to toggle between Amount and %.

(F3) Abort: Allows current transaction to be aborted.

(F4) Training: To enter training mode for the purpose of staff familiarisation. No transaction
details are retained by this routine. Use same key to Exit.

(F5) Receipt Shows electronic till journal on screen. Only available within a sale after
assistant and customer sign on – i.e. immediately before any sale line details
are
entered.

(F6) Void: Allows a sale line to be negated. When utilised, a box appears for Line Number
to be voided. Select the required line and details appear in bottom box for
confirmation before voiding.

(F7) Reprint: To reprint Last receipt.

(F8) Staff: This will allow you to perform a sale to a member of staff whereby each sale
line is discounted as dictated within Staff Status maintenance in the back
office.

(F9) Layaway: Temporarily suspends a sale and is also used for recall. There are 3 types of
Layaway – Normal/Quick (used in the short term), Order (handles customer
sales orders and allows staged payments) and quote (to record quotation
offers which can be turned into orders or actual sales). Recall has search
options to facilitate identification of the transaction to be restored.

(F10) Enquiry: Shows current stock and order levels of a selected product.

(F11) Capture: To request the entry of customer name and address details which are then kept
on sales transaction.

(F12) Refund: To return item(s) within a sale as Good or Faulty stock with associated Reason.

Price: Allows price override.

Quantity: To alter quantity to be sold.


Account: If selected at the appropriate point – i.e. immediately before any product
detail has been entered – this initiates a transaction to register a payment
against a credit account.

Total: Totals the sale ready for payment to be tendered.

Export: If selected at the appropriate point – i.e. immediately before any product detail
has been entered – indicates the sale of goods for export with appropriate vat
handling.

No Sale: To open cash drawer without a sale.
