UNIVERSITY OF GOERGIA WOMEN'S CLUB SOCCER
For the benefit of its membership and the prosperity of this club the elected officers and
advisory committee representatives hereby establish this constitution for the University
of Georgia Women's Club Soccer team.
Section One : Membership
a. Eligibility  UGA WCS will abide by the participation requirements set forth by the
University of Georgia's Club Sports Handbook, as well as any additional requirements
determined by either the SCSA or NIRSA.
b. Qualifying for Membership - Tryouts will be held every August. After the fall tryout
session, and only this session, will invitations for membership be extended. Once a player
pays their dues they are entitled to full voting membership.
c. Membership extends for the entirety of a player's time at UGA. Once a player makes
the team they are on it until they quit, either verbally or in writing, they are absent for two
consecutive semesters without medical cause, or they are removed from the team for behavior
detrimental to the club or its players.
d. Revoking Membership  In extraordinary circumstances a player may have their
membership revoked due to behavior that is dangerous, or detrimental to the club and its
members. Two members of either the Advisory Committee or the Board must propose
revoking a member's privileges in writing to the President. All members of the Board and
Advisory Committee must vote and a majority of  must be reached to revoke membership.
1. A player may apply for reinstatement of eligibility through a written letter to the
Board. The Board and the Advisory Committee shall review the application and vote for
reinstatement of eligibility. A vote of  will carry the petition. The player will then be
eligible to tryout in the fall to make the team again and restore their membership. A 
vote does not reinstate a player's membership, only their eligibility to tryout and make the
team that fall.
e. Temporary players, players who come on for the spring semester, or players invited to fill
in for one reason or another during the fall are not granted membership, or any privileges
afforded to members, until they tryout in the fall and make the team.
Section Two: Executive Board Structure
Titles and Responsibilities
President
The President of the the club serves as the liaison between the club and any organizational
body the club interacts with including, but not limited to, UGA Club Sports, NIRSA,
SCSA. This includes all required paperwork and meetings as set by the Club Sports
Department, as well as a strong grasp of the Club Sports Handbook.
Check the various outlets that people may contact us through and respond accordingly.
Plan officer and team meetings as necessary.
Attend and coordinate officers and training.
Vice President
Assist the President in her responsibilities. The VP assumes joint responsibility with the
President for all paperwork required and communication with organizations we interact
with.
Treasurer
Keep detailed records of all financial transaction the club makes. Monitor and maintain all
accounts the club holds on campus and off. Ensure all budgets are turned into Club Sports
on time. The Treasurer must have a strong grasp of the Club Sports Handbook,
specifically the sections dealing with financial matters. Responsible for all operational
expenses the club may incur during the year. This may include league dues, tournament fees,
hotel payments, travel expenses, equipment and apparel, reimbursement of coaches or
external payments made on behalf of the club. It is the Treasurer's duty to collect all tryout
payments and membership dues.
Competition Coordinator
Responsible for building the fall schedule in coordination with the league, as well as
planning/organizing/running home competitions. This includes reserving fields either on
campus or off, and finding qualified officials for home matches. Maintain communication
with teams coming to Athens. Make sure they have proper game times, directions, and
contact information. Turns in paperwork associated with competitions including
competition requests, follow ups and travel notifications. Communicates with Treasurer and
President to coordinate hotel and tournament dates and locations. Organizes/delegates
driving responsibilities for away competitions.
Public Relations Coordinator
Maintains all UGA WCS social media mediums including the website. Replies to posts
and requests in a timely manner. Works with the Treasurer, President, and Social Chair to
promote the club and organize club events.
Social Chair
Encourage team camaraderie through outings and team events. Plans social nights such a
video games, movie nights, team dinners, trips, community service, etc. Registers the team
in various IM sports competitions.
Running For Office
a. Eligibility for Office  Any voting member who has been with the club for a minimum of
one semester is eligible to run for any position other than the presidency. Only members who
have served at least one year as an officer shall be eligible to run for the position of president
of the club.
b. Elections  Elections for board positions will be held at the beginning of the spring
semester, or the end of the fall if necessary. 80% of the membership must be present and vote
for the election results to count. A candidate or incumbent is elected should they receive a
majority of the votes cast. All positions are held continuously until another member
challenges for that position, the officer resigns, or is removed from their position by.
c. Running for Positions and Terms of Service - In order to run for a vacant position or
challenge a board member for their position, a candidate must submit a written declaration
of their intent to run and what position they are running for to the president. On election
night all candidates and officers being challenged must address the team as to why they
should be elected to the position they are seeking.
d. Removal From Office - In extreme circumstances of negligence or behavior detrimental
to the club and its members an officer may be removed from their position. The officer in
question must first be warned by the President before the board can proceed to a vote for
removal. If the officer in question does not show improvement after the warning by the
president the board shall move to a vote of removal. Every officer, including the officer in
question, shall cast a vote. There must be at least a two thirds majority to remove. This
process may be repeated up to two more times should the vote to remove not carry and the
behavior continues.
e. Replacing Board Members  Should a board member, other than the President, resign
their position during their term the President shall determine whether to delegate those
responsibilities among the board members until the end of the semester when an election can
be held for the vacant position.
1.Should the presidency be vacated during the semester, the Vice President shall
determine whether to take on the President's responsibilities, or hold an immediate
election for the vacant presidency.
f. If the office of the president is vacant and there are no eligible members running for the
office, the criteria may be lowered to those who have been members for no fewer than two
years.
Section Three: The Advisory Committee
So that each class shall have representation separate from the Board an Advisory
Committee is hereby established to represent each class in matters of governance, disciplinary
decisions, and serve as an intermediary between the players and the coaching staff.
a. Each class shall elect one member from its constituents. Every player is eligible and if
elected cannot turn down the position. Elections will be held for each class every spring at
the beginning of the semester.
b. The player receiving at least half their class's votes will be elected.
Section Four: Amending the Constitution
This constitution may be amended by way of a written proposal presented to the President
carrying no less than five signatures of full voting members. The Board will then call a
meeting of the membership to vote on the proposal. At leas 4/5 of the membership shall be
present to have a quorum. The persons proposing the amendment shall present their
proposal to the members, who may discuss the proposal in an open forum. The proposal
will then be voted on and carry with no fewer than  of the vote.
Section Five: The Prospectus
On a reasonably regular basis a prospectus shall be presented to the membership and made
available for prospective players. The purpose of this document is to serve as a
memorandum of understanding for how the club will operate for the foreseeable future. This
prospectus will be created by the coaching staff in conjunction with the Board and
Advisory Committee. With the consent of the Board and Advisory Committee, it may be
changed or rewritten at the end of any given year to better fit the club's circumstances.
Resolved in good faith by the elected representatives of the University of Georgia's Women's
Soccer Club gathered on May the 5th 2016.
