SPONSORSHIP TERMS AND CONDITIONS
Event details: The event can be arranged fully online or in a hybrid mode (online+offline).
Please avoid total offline events. You can make it National or International Level. Please avoid
the state level event.
Registration fee: Registration fee should be collected by the college which can be used for
managing the competition expenditures other than prize money. The registration fee should not
exceed Rs 150 per group participating online and Rs 300 per group participating offline in a
one day event.
No of participants: There should be at least 3 presenting students in one group. There should
not be any limit on the maximum number of students in a group or number of groups from one
college. Students from two different colleges should be allowed to participate in one group. If the
authors submit the article PDF late for evaluation, they should NOT be disqualified.
Sponsorship amount: The sponsorship amount of Rs. 11000/- (Rs 5000 first prize, Rs 3000
second Prize & Rs 1000 each for three consolidated prizes) will be deposited in the account of
the institution/principal/dean/director/organizing member by IMPS within one week after the
declaration of 1st round result but prior to the event (2nd round) date. Any extra expenditure that
may occur will be bear by your college. Colleges can collect registration fees to meet these
expenses. Please note that, we expect a minimum 150 groups participation to continue
collaborating with you next time onward. This count is excluding the groups from your own
college. To assure the same, promotion should start at least 1.5 months prior to the event.
Starting the promotion and reminding us on whatsapp 1.5 months prior to the event date is your
responsibility. If the number of participating groups will be less than 80 then sponsorship
amount will be reduced to half and if the number of participating groups will be less than
40 the sponsorship amount will not be provided.
Competition rounds: There will be two rounds. In the first round we will evaluate all the
submitted articles and provide you the list of top 10-20 groups. This is needed in order to reduce
the load of organizing college and to declare the result on time. In the second round you will
arrange the presentations of these 10 to 20 groups and finalize the winners.
Our responsibilities: Instructions to author, article upload form, sample brochure, sample
certificate, sample mark-list and sample registration form link will be provided by us. Sample
documents provided by us are just to get an idea. The theme which will be given in the sample
brochure is just for reference. Please do not use the same theme. Colleges should decide the
theme for their event and inform us on whatsapp before preparing the brochure for the
event. Minor changes in the content of these sample documents can be made with mutual
consent. It is appreciated if the hosting college/university will make the changes in the design of
the brochure and certificate.
Your responsibilities: Proposing the theme & date of competition, making of brochure,
preparing the registration form as per provided sample, promotion of event, inviting the
evaluators for presentation, giving remuneration to the evaluators, presentation result
preparation, announcement of result, sponsored prize money distribution, certificate making,
certificate distribution, and hospitality (if any) of participants plus evaluators will be the
responsibility of the collaborating college/university. Finalization of the theme, brochure,
registration form, certificate, and result should be done with mutual consent. Both the organizing
institute and Academic Decipher (academicdecipher2025@gmail.com) should be the
owner/collaborator of the registration form & article upload form as well as folder. Before
finalizing the brochure please share it with us on whatsapp for corrections if any.
Steps to follow: Before starting the actual promotion please
follow the following steps
Wait until we send the confirmation email about the sanction of sponsorship.
After getting the email follow the below mentioned steps.
1) Please decide the dates as per sample brochure and inform on whatsapp (7400253569)
2) Please decide the theme and share on whatsapp (7400253569)
3) Form a whatsapp group and make 7400253569 an admin of this group. Use the following
format for giving the name to this group (ADM MONTH YEAR XYZCOP for example ADM
Feb25 BCBCOP). Allow only admins to put the messages or to change the group
information. Link to join this group should be provided to all the students via registration form.
4) Prepare a registration form as per sample form present in our email about sanction of
sponsorship and share it with academicdecipher2025@gmail.com
To share the form go to drive, locate the form, right click on form without opening, you will find
the option share, put our email (academicdecipher2025@gmail.com), click done. Check the
figure given below.
5) Make a brochure as per sample attached with our email about sanction of sponsorship and
send it on whatsapp for checking prior to starting the promotion. Do not forget to write the
following sentences in the brochure. These sentences should appear promptly on the first
page.
“ Good quality articles of all the participants (not only winners) will be published by Academic
Decipher Press as a book chapter in the book with ISBN”. Names of all the authors will be
present on the content page of this book and also on the title page of chapter. Articles prepared
for this competition using the author instructions provided by Academic Decipher will solely be
the property of Academic Decipher Press and can not be published anywhere else. Separate
publication charges will be applicable.
6) Upload the final version of the brochure and MOU using the form present in our email about
sanction of sponsorship.
7) Promotion should not be started without following above steps
