Lintel

This project is geared to small to medium size churches who have a lot of random knowledge about their building(s) in random volunteers' heads or staff members. Nothing is worse than having something break, and you don't know which volunteer worked on it and why they did something a specific way. This will help with that. Giving a unified place to store notes about your building and projects in one place so that it's more useful than a spreadsheet.

Volunteers and staff members can come and go, but their knowledge on what happened or what they did to the building should stay with the church.

My goal is to make something that small to medium size churches can use to store information about their building. Things like "what color did we paint the hallway?" or "when did the sanctuary lights get replaced?" or "why is the breaker for the HVAC unit located in the basement?"

A bit more organized than a spreadsheet. This will also help track the relationships between things.

To Track

  • Buildings/Rooms
  • Assets (HVAC, lights, sound board, etc.)
  • Maintainence schedules (resealing the bricks, change filters, etc.)
  • Issues (leak in the alley side window, birds coming in the sanctuary, HVAC isn't staying cool)
  • Ongoing Projects (paint schedules, remodel the kids space)
  • Knowledge (why is this breaker here and not there)

Definitions

Building: This will be the core building. It has rooms, information like when it was built, total square footage, number of rooms, etc.

Rooms: This will be a room inside the building. You can track things like paint color, any assets located in the room, issues like a leaky window, or ongoing projects that involve this room or small short term projects like remodeling the room.

Assets: These are things that will depreciate or need consistent maintenance. Things like an HVAC unit, stage lights, kitchen oven, roof, whatever. Things that you want to get better at tracking during their life.

Maintainence schedules: These can tie into rooms, or buildings or to specific assets.

Issues: Issues are things like there's a leak. You want to see if a fix a contractor did fixed it. Or your HVAC unit is leaking freon. When was the last time you refilled the fluids? Did that happen sooner than you thought? On going issues that sometimes cross paths with multiple volunteers or workers need a central location. This can be it.

Ongoing projects: Slightly different than issues. This was more like "When was this room painted last?" or "What is the desk stain color so we can match it for the bookshelves we are adding"

Knowledge: Rationale behind things. Why is the breaker for the HVAC for the sanctuary in the basement when the rest of the sanctuary breakers are in the utility closet in the family room? Someone 50 years ago needed to do it that way for a reason only he knew. That type of thing.
