INTERNSHIP IMPACT

The internship as a requirement of the masters’ degree provides special opportunities


for learning which are different from supportive of and supplementary to the more
academic aspects of the program. These special opportunities will enhance and enrich
the University’s overall education efforts and outcomes as well as those of the various
programs. It is considered very necessary to join a professional field. My Internship was
started on 18 July and completed September on 9, 2016. During my internship I
worked in different sections and I learned and performed almost all the activities in
these sections. During my internship I also wrote my routine work diary. It was a
splendid experience to work in all these sections.

INTRODUCTION

Punjab University Library is the largest resource centre of knowledge’s and


information in Pakistan, which came into existence in 1882. The Library remained I its
old building upto 1988 and in the same year it was shifted to its present two storied
building. It become a book collection of more than 6,70000, which includes more than
22,000 manuscripts and 80,000 bound volumes of National and International Research
Journals covering various discipline taught in the University. This prestigious library has
more than 50,000 volumes of old documents published during the latter half of 19 th and
first two decades of 21st Century. The Library has 1273 microfilms of rare material. It is a
depositary library for UNO Publications. It has 32000 members comprising of faculty
members, students and other researchers of the Punjab University.

From 2005, the Library has transferred its Catalogue from WINISIS to
Multilingual Library and Information Management System (MLIMS). This has the facility
to enter data in the Oriental Languages including Urdu, Persian, Arabic and Punjabi etc
as well. Online Public Access Catalogue (OPACs) terminals are available for searching.

SECTIONS OF PUNJAB UNIVERSITY LIBRARY

The Punjab University Library (known as the Main or Central Library) is a


separate administrative unit of the University of the Punjab. Its Head is designated as
Chief Librarian. The Service Unit in-charges are designated as Deputy Chief Librarians
who serve with the collaboration of the Senior Librarians, Librarians and other non-
professional staff. All the professional and non-professional staff works under the
guidance and supervision of the Chief Librarian.

There are eight service Units/Sections of the Library. Every Unit/Section is under
the administrative control of Deputy Chief Librarian. However Internet Lab is supervised
by Lab. Network Administrator.

ACQUISITION SECTION

Acquisition Section is concerned with the selection and purchase of reading


material in what so ever from it may be. Books are accessioned in this section. It keeps
a complete and up-to-date record of such books and other reading materials.

Books are purchased keeping in view the requirements of the University Faculty
the students and the Research Scholars. Books are generally selected from the local as
well as foreign publishers, catalogues, current lists and local book exhibitions/fair, etc.
These catalogues and lists are sent to the Heads of the concerned teaching
departments for selection and approval of the reading material of their subjects. They
select and approve the reading material for addition to the Main Library from these lists.
After getting their approval, the titles approved are thoroughly checked with the library
catalogue to avoid duplication. Special attention is paid to provide text books and
research material to the library users. It also acquires rare manuscripts and microfilms,
etc.

The Annual Budget of Punjab University Library for the year 2015-16 is Rs.
13,000,000/-

CIRCULATION SECTION

The Circulation Section is the backbone of the Library. The Section has a unique
role for providing the latest information to readers. Furthermore, Circulation Section has
introduced computerized system for proper record keeping. Now that computer facility is
available, hence it is easy to send defaulter lists/miscellaneous correspondence well in
time which providentially will improve in the long run.

In the year 2007, Library has started circulation transactions like check-in and
check-out of the books on smart bar-coded cards. This has made the issuance
procedure efficient Issue and Return counters have been separated in a new designer
check-in/check-out counter. Keeping in view the books security issues, library has
installed RF based book security system integrated with smart card based entrance with
time and management control system.

Functions of Circulation Section are:-

 Registers new members, issues borrower’s cards and renews


membership cards.
 Issue and receipt of reading material, to and from the members only.
 Collects delay fines for overdue books.
 Sends reminders for overdue books.
 Informs the members about the reading material reservation.
 Settles cases regarding the books lost or damaged by the members.
 Prepares defaulter lists and sends them to the Heads of the concerned
teaching department to detain their roll numbers till they clear their
accounts with the library.
 Issue the Library Clearance Certificates.
 Checks incoming and outgoing materials thoroughly.
 Helps the library users to finding the required material and guides them it
the library catalogue.
 Shelves the reading material on the racks that had been returned by the
borrowers and taken from the shelves for reading.
 Keeps statistics of daily transactions.

ORIENTAL SECTION

Cataloguing, Classification and all other technical process regarding Oriental


Languages are performed in Oriental Section. The Section has four types of catalogues.

 Catalogue of Urdu

 Catalogue of Arabic

 Catalogue of Sanskrit

 Catalogue of Persian

The catalogue cards have been arranged alphabetically word by word, letter by letter.
To find out whether the Library has a particular book, or not and where to find it on the
shelf, the book may be traced out by consulting the catalogue through its author, title or
subject. In case of any difficulty, the Librarian and staff on duty can be consulted for
guidance.

Periodicals in Urdu and other Oriental Languages are acquired by the serial
section. When the volumes of journals are completed, these are sent to the Oriental
Section in bound volumes. It has personal and special collections consisted of
published and unpublished reading material which have a special attraction due to their
rarity and usefulness.

Total collection of Oriental Section is more than 200,000.

ACTIVITIES

CHECK DUPLICATION OF BOOKS

When new books acquired, the first process is to check duplication of that books.
There are two ways to check duplication:-

 OPACs

 Manual

I check duplication of books by using OPACs and card catalogues.

MAKE CUTTER NUMBERS

I built cutter numbers by using Urdu cutter list which is prepared by Oriental
Section.

CATALOGUING CARD SLIPS

After making cutter numbers and classification numbers, card slips are prepared
for data entry of books in the MLIMS software.

CHECK DUPLICATION CUTTER NUMBER

Cutter Number also checked by using shelf list, whether cutter number is already
exists or not. If cutter number already exist then it is changed last alphabet.

ARRANGEMENT OF CARDS

Arrange cataloguing cards and shelf list cards and put into the exact place in the
cataloguing boxes.

DATA ENTRY

 Learn how to enter book data in MLIMS

 Learn how to prepare spine labels in the MLIMS

SHELVING

I did shelving of Urdu and Persian books.

MENUSCRIPT CATALOGUES

Check catalogues of manuscripts. There are more than 22,000 manuscripts in the
Section, which is very old and rare.

PERSONAL COLLECTION

There is huge personal collection of persons in the Oriental Section. I check catalogue
list of personal collection, find books from the collection and keep back to the shelves.

SERVICE COUNTER

I served the service counter and guide to the users that how to find their required books
by using OPACs.

PRESERVATION AND CONSERVATION SECTION

The Section is located on the first floor in the Punjab University Library. It has a
large number of Microfilms and CD-ROMs in its collection and read/write facilities of
CD’s/DVDs to fulfill the information needs of the University Teachers, Researchers and
the Students etc. The subjects covered in the collection of microfilms are mostly related
to social sciences and humanities.

The Microfilms of rare manuscripts in Arabic, Persian and Urdu are also
available. There is large number of microfilms of rare newspapers and journals which
have been kept to assist the researchers of Pakistan Movement, Quaid-e-Azam, Allama
Iqbal and other political and social aspects of Pakistan. Photocopy machines are
available to provide photocopies of rare material and preservation. Microfilm reader with
printer is also available which facilitates the research scholars/users in the use of
microfilm.

For the preservation of the Library material, a high speed scanner named
“BookEye4” with the facility of microfilm scanning is added in the Section. The
digitization facility is also available for large size material.

The Section has also the responsibility of smooth functioning of electronic


databases of books and journals in the University provided by the HEC. Another
important responsibility is to conduct the trainings about the Turnitin anti-plagiarism
software. The subscription of this software is provided by HEC and it is used to produce
the originality reports of the research work.

BookEye-4 is a very high speed scanner. It has following features.

ENDNOTE SOFTWARE

EndNote is a commercial reference management software package, used to


manage bibliographies and reference when writing essays and articles. There are
several ways to add a reference to a library; manually, exporting, importing, copying
from another EndNote library, connecting from EndNote. The program presents the user
with a window containing a drop-down menu to select the type of reference they require
(book, newspaper article, film etc and fields ranging from the general author, title, year)
to those specific to the kind of reference ISBN, abstract, reporter’s name, running time
etc. Most bibliographic databases allow users to export reference to their EndNote
libraries. This enables the user to select multiple citations and saves the user from
having to manually enter the citation information and the abstracts. There are some
databases in which the user needs to select citations, select a specific format and save
them as .rtf files. By then going to EndNote, the user can then import citations into the
EndNote software. It is also possible to search catalogs within EndNote.

CATALOGUING SECTION

The main responsibility of this Cataloguing Section is to classify and catalogue


the reading material. After purchasing, accessioning and labeling of the reading material
in the acquisition section, it is sent to the Cataloguing Section for technical processing.
This reading material is being classified according to Dewey Decimal Classification
scheme, Library of Congress subject heading list is used for assigning subject
headings, Catalogue cards are prepared according to ALA Cataloguing Rules. From
2005 WINISIS Catalogue has been transferred to Multilingual Library and Information
Management Systems (MLIMS).

REFERENCE SECTION

The Reference Section holds more than13,000 reference books including


Encyclopedias, Dictionaries, Biographical Dictionaries, Yearbooks, Handbooks,
Bibliographies, Accession Lists, Guides, Maps, etc. its function is to answer the reader’s
reference questions and to keep a record of the reference questions asked and
answered. The reference questions may range from simple reference questions to
complex research. It provides reference service to fulfill the information needs of the
Teachers, the Students and the Researchers. It also answers the questions like who is
who, what is what, how and where etc to save the precious time of the users.

The Section is responsible to prepare originality reports through Turnitin


anti-plagiarism software for M.phil/Ph.D desertions and various research articles.

The Reference material can only be utilized within the library and cannot be borrowed.
Since May 2002 the Reference Section has been converted to a separate reading hall
which is fully air-conditioned.

o Identify references, allusions, dates, quotations and characters in literature

 Almanacs

o An annual calendar containing important dates and statistical information


such as astronomical data and tide tables.

 Atlases and Gazetteers

o Provide geographical information in any subject area and may give maps.

o Give overall picture emphasizing location of industries, products, literature.

 Bibliographies

o A list of the books referred to in a scholarly work, typically printed as an


appendix.

o A list of the books of a specific author or publisher or on a specific subject.

o Indicate where periodical articles on a subject can be found.

o A book of information about a place, designed for the use of visitors or

 Abstract Journals

o An abstract is a brief digest or summary which gives the essential points


of an article, pamphlet, book, monograph or report.

o Usually an abstract of a work gives the researcher enough information to


enable him to decide.

WHAT IS PLAGIARISM

 The act of using the work of another and passing it off as one’s own.

 Using someone else’s exact words without quoting them is Plagiarism.

 Plagiarism is a species of intellectual fraud. It consists of un-authorship /


unauthorized copying that the copier claims is original with him and claim causes
the copier’s audiences to behave otherwise than it would if it knew the truth.

TURNITIN

Turnitin is the leading originality checking and plagiarism prevention service used
by millions of students and faculty and thousands of institutions worldwide. Turnitin
encourages that best practices for using and citing other people’s written material.

It is web-based plagiarism detection software. It can be used as a deterrent, but


also as an educational tool to teach students that how to work with sources and to
improve paraphrasing and quoting skills.

Punjab University Library is a depository Library of U.N Publication under an


agreement nominal annual subscription is paid by the Library and in response the
library receives the publications of U.N.O and its sub-ordinate departments.

The reading material has been arranged in classified order. The Section is

University of the Punjab was established in 1882 and its first Calendar published
the year 1884-1885. Various editions of the University Calendar were published from
time to time of which the last appeared in 2002. Since this 1990 edition have many
amendments, alterations, additions and deletions in the laws pertaining to the University
took place. It was in this perspective that a Calendar Committee under the
Chairmanship of Dean of Law was set up by the Vice-Chancellor. The main job of the
Committee was to revise the old edition of the Calendar and publish it with its revised
Statutes, Rules, Regulations, etc.

Serial definition:-

 A story or play appearing in regular installments on television or radio or in a


magazine or newspaper.
 In a library (a periodical)

Journal definition:-

 A newspaper or magazine that deals with a particular subject or professional


activity. Example: Journal of Library and Information Sciences.

Newspaper definition:-

 A printed publication (usually issued daily or weekly) consisting of folded


unstapled sheets and containing news, articles, advertisements and
correspondence.

Magazine definition:-

 A periodical publication containing articles and illustrations, often on particular


subject or aimed at a particular readership.

INTRODUCTION

Serial Section is the source of current and the latest published information which
is very useful in research work. It acquired journals of almost all the subjects. Local
Newspaper in Urdu and English are subscribed.

Two International Newspapers are also subscribed:-

 Khaleej Times
 Financial Time

When a volume of a Journal or file of a newspaper is completed, it is get binded. The


section has maintained files from 1954 to onward of different national newspaper
especially Nawa-e-Waqat and Pakistan Times. Bound volumes of the Journals are
arranged on racks in classified order and fresh issues, but photocopy of the required
article is allowed under the rules, there are 80,000 bound volumes of Journals on
various disciplines both in foreign and local languages.

Research oriented Journals both local and foreign are subscribed with the
approval of the Heads of University Teaching Departments.

BUDGET OF SECTION

The Annual Budget of Serial Section for subscription of Journals is 3 Million


rupees.

NEWSPAPER INDEX

The Section publishes a monthly newspaper articles Index under the title
“Newspaper’s Index”. This newspaper articles index include important national,
international, religious and scientific topics. Table of contents service is provided to all
departments, when a new foreign research journal is received in the library, the
photocopy of its table of content is sent to the relevant department. If the teachers are
interested in any article, the free photocopy is provided to them. It is very regular
Selective Dissemination of Information (SDI) Services.

The functions of Serial Section are:-

 Selecting, ordering and processing Journals.


 Keeping records of all Journals holding
 Preparing Journals, Newspapers for binding.
 Assisting patrons to get current set of Journals.

 Stamping on the Newspaper and the Journals
 Read articles and make subject heading
 Read different journals
 First three days I worked on an assignment given by chief librarian.

CONCLUSION

At the end of my Internship report I want to say that it is a marvelous, fabulous and
brilliant experience to work in this library. All the staff members are very cooperative,
supportive and compassionate. I really enjoyed this Internship. It was a challenging
experience for me. During this Internship I got the opportunity to learn from practice.
Library provided me learning environment where I gained technical skills and
professional knowledge with personal experience. I work according to proper plan.
Library environment is calm and comfortable. I tried to perform all serviceable activities
with sincerity.
