Two Days Per Page with Tasks in Personal Size



After I showed my set up for next year, I have received a few requests for the diary insert that I have created. It is basically 2.3.2 that I have 'tweaked' to add in the tasks to each day. 

Today I'm releasing the source files and the prepared files for 2026.

2026 Files ready to print in Word and PDF formats

Source files you will need both the Word and the Excel file and use the Data worksheet when performing the mail merge which you select when opening the Word file.

Using the Philofaxy Diary Inserts with the current version of Office 365

In the time we have been producing the Diary Inserts, MS Office has gone through several versions. 

The videos we originally produced are largely out of date. It was therefore time for a big update especially with our reduced list of files. 

I've therefore done two videos, one using MacOS/Office 365 which is my system of choice and what I've been using for a number of years. The other using Windows 11/Office 365 which is one I'm not that familiar with and it did cause a few headaches to make the video!

Hopefully you will be able to understand better the various messages that pop up when opening newly downloaded files from Philofaxy. The messages are more prominent on Windows 11 compared to MacOS.

The transition from A5 Filofax to Personal Size Filofax

As a long term user of an A5 Filofax (this is my 20th year in fact) I have contemplated changing back to Personal size several times in the last few years, having started in Personal size back in late 1986 (yes nearly 40 years ago!) 

I've also been using the same Enhanced Time Management A5 insert since late 2011, so why change you might ask. 

As well as a large collection of A5 organisers (about 24) I have a similar number of Personal size organisers, plus a small number of Compact and Slimline size. 

In addition over the years I've collected an abundance of Personal size inserts of one sort or another. (A shoe box full, the universal measurement of spare inserts!) What was stopping me from making the change?

A5 has worked so well for me over the years, but may be the smaller size could be made to work just as well. 

First of all I looked for commercial inserts that might fit the bill, but for one reason or another I didn't find any that would fit my own requirements. 

I set to work on creating an insert of my own, a miniature version of my A5 Enhanced Time Management insert. However, in Personal size when I tried it out for a couple of weeks I don't think it would have worked for me, the restricted space on each day was going to be an issue, unless I could tame my hand writing and that has been a problem for the last 60+ years!!! 

Daily inserts would also be great, but that is a lot of paper to carry around, a compromise would have to be met by restricting to say only having 4 months of inserts in the organiser at any one time and make use of a monthly insert or year planner for more long term planning. 

Seeing your week ahead with dailies results in lots of page turning. Then I hit on the idea of two days per page. Would that work? 

I grabbed our existing files for that format and on screen I could see it certainly had a lot of potential. 

I started with file 2.3.2 on our 'Future Diary Inserts' Page. 

I did a couple of tweaks to the file to include 'Tasks' on each day and printed off a couple of weeks of inserts, cut them to size and populated the days with appointments and tasks I had recently had in my A5 inserts. 


I considered printing on to Personal size paper, this would have saved a lot of cutting and punching, except when I tried it, the printer mangled up each sheet that went through it. Back to the drawing board!

In the end I had to print on to A4 paper (two Personal sheets per A4 sheet) and then cut them out. With 108 sheets to cut to size I got quite good at cutting the pages to size by eye. However, it did take several hours to do. 


If I use Personal size on a long term basis I will certainly consider investing in a heavy duty paper cutter. One that can do 50+ sheets at once and make accurate and square cuts. It would save me a lot of time. 

In addition to the diary inserts I also gathered together all of my Personal size inserts in boxes and in organisers and sorted through them. Reusing some that I already had from a while ago. 

In some cases I had to recreate inserts I've been using in A5, but in Personal size to give me the same flexibility as the A5. 

At the moment with the inserts printed on Clairefontaine 80gsm paper it all fits into a Filofax (or similar) with 30mm rings. But with a little bit of thinning down the extra sheets I think I can get my 'fill' to fit in a standard 23mm Filofax, this will give me more choice from within my 'collection'

I'm quite looking forward to using Personal size again. I already have some appointments cropping up in 2026 to write in and no doubt more as we progress through 2025. 

I also like the certainty of having the files to create these files in future years and not have to worry about multiple languages or QR codes or them being discontinued etc.

Printed Inserts

Printing your own inserts from downloaded files isn't always possible or easy for a lot of people in our community. 

I recognise also that it can be a common source of stress amongst Filofax users at the start of each year. 
  • Will I be able to buy the insert that I've been using for n years?
  • Will it still be available in the size I'm using?
  • Will the paper still be the same? 
  • Will the design have been changed? (addition of QR codes...)
  • Will they have increased the prices?
And other issues no doubt. 

To try and reduce this uncertainty I would like you to help us build up a directory of sources of pre-printed inserts that we can link to on our suppliers page.  This page has been revamped recently to allow for the inclusion of this diary insert information. 

To make this easy to use we will at minimum the following information: 
  • The name of the supplier
  • Web site link (essential for inclusion)
  • The location of the supplier (importing inserts from abroad can be quite expensive in taxes and shipping)
  • The sizes they have available. (A5, Personal, Pocket, A6, Mini etc)
  • Any comments in addition to the above.

Enhanced Time Manager Diary Insert - Personal Size


If you have been a Philofaxy reader for more than 10 years, the above diary insert image should be look familiar. It is the Enhanced Time Manager insert that I designed in 2011 in A5 size and I've been using every year since then in A5 size. It has a had a few tweaks to the design since then but it is basically the same layout. 

You will find it as 1.5.1/1.5.2 on our Diary Inserts Page for the A5 version. 

With a bit of editing I've managed to come up with a Personal Size version. It's not identical somethings have had to go to get it to fit the smaller page size.  There is no longer the calendars at the top of the page. 

I have done two versions. One that prints on to personal size paper, the other which you can print on to A4 paper. There are pros and cons as to which version you use. 

  • The personal page version has a larger bottom margin to be compatible with most printers. 
  • The print on A4 size paper one can use the most of the page, but you then have to cut each of the pages to size and punch them. 
  • The personal size paper version only has dates at the top of the dated page, this makes the printing easier, if you have a paper mis-feed then it's not so difficult to rescue the situation without having to reprint lots of pages. 
Choose which one you like, it is up to you.

Today we are offering the source files and pre-prepared versions for 2025 ready to print. In time these will find their way in to our offerings on the diary inserts page.

Guest Post: There and back again – a (possible?) journey back from A5 to Personal - David P

I’ve been a more-or-less happy A5 user for a number of years. The demands of business have always made me favour the larger format (but not Deskfax – that’s WAY too big for me!). 

However, over the past few months I’ve begun to sense a ‘pull’ back to the Personal format which I haven’t considered for a while- largely for reasons of portability, but also aided by a number of good ideas harvested from Neil and the Flatability vlog (if you’re not familiar you can find it at https://www.youtube.com/@Flatability. Neil is pretty much exclusively a small-format vlogger and his posts have made me reconsider what might be possible without carrying over a kilo of leather and paper around with me (I especially notice this when I’m travelling for business, and at weekends).

However, just as my considerations were gaining momentum, Filofax dropped their enormous spanner in the works by launching their 2025 diary refills, all of them covered with QR codes taking up valuable space (especially important for the smaller formats), ruining the aesthetic, and linking to an app which I neither want nor intend to use – ever. So that was a dead halt to my plans for a transition to Personal size – or so it seemed.

I suspect this is a dilemma which many Personal size users are facing, so nothing daunted I decided to do some research and see what is ‘out there’ for those of you who would like to continue in Personal (or move to that format, like myself), but who don’t want to use the new Filofax inserts with the QR codes.

Here are the results of my research.

I must add that I’ve not (yet) bought any of these inserts, so I can’t comment on paper quality (although I’ll make some general comments), but if anyone decides to take the plunge, maybe you can post a comment and let us all know. It’s certainly clear that the end is not yet here for Personal format refills, and I hope this may be of some use to you. 

All of the links are from the UK, because that’s where I live, but you ought to have no trouble finding other sources who will ship worldwide, and from whom you can order without difficulty.

Budget refills

I was pleasantly surprised to find several budget diary refills available via Amazon. For example,

This looks to be a fairly basic Wo2P layout (with lines, which is my personal preference), and possibly contains a good deal more than just the diary pages. For the price, I would expect paper quality to be less than ideal – but it’s a very reasonably priced option.

I had no idea that Collins, long established leaders in the UK stationery market, made organiser refills, but here it is – paper width 1mm wider than the standard Filofax Personal width of 95mm, in case that matters.

I’m not familiar with the Elephant Planners brand (something to do with ‘never forgetting’ I guess, and this didn’t seem to be available on Amazon, only through eBay. But certainly, another option.

Now I’m aware that all of these are W02P options, and it looks to be a LOT more difficult to find DPP options at these prices. So, if DPP is your preferred option, it’s going to be a difficult year. However, let me also introduce you to three if my favourite suppliers at more premium prices.

I’ve bought A5 refills from all three of these suppliers in the past year, and they are all excellent quality – albeit more expensive than the budget products above. But if planning is something you take seriously, then as David Allen says, you’re more likely to use a system that pleases you aesthetically and structurally, and which you enjoy coming back to on a regular basis. So, you may want to spend a little more and indulge. All three of these suppliers ship worldwide and provide a number of different layouts, some of them quite unique (I’ve been using an A5 Wo2P layout from 8Lotus for a while now, and I like it a lot). 

Of course there are other suppliers out there, but these are three that I’ve used personally and can vouch for in terms of quality and good delivery times.

I hope this may help those of you who are feeling ‘lost’ about what to do for 2025 in Personal size. There are lots of additional resources, and this is just a starter guide – so if you ‘make a find’ or have a personal favourite which you want to share, please feel free to comment below.

Diary Inserts for 2025 and beyond.


The need for next year's diary inserts seems to inch earlier and earlier in the year for me. We have had 2025 inserts available for some time. 

However incase you missed the 2025 inserts they are currently on our 'Future Years' page. They will be copied to the 2024 page in the near future. 

Also on the 'Future Years' page you will find the inserts for 2026 and recently added the 2027 inserts. 

Given the task I had this year of printing my own inserts I will do doing a separate post on printing our inserts. It used to be fairly easy but recent changes to Microsoft Office 365 seemed to have made it harder! Such is progress!! 

This post is going to be published on Monday, it has involved a lot of in-depth investigations and paper!

Making my own inserts

Steve's recent request (in the Philofaxy Facebook group) for members to post photos of their inserts made me reach for the Filohax pen - I've been unable to find printed inserts to suit my needs, so have resorted to making my own. Don't get me wrong, I'd love an off the shelf option, but my work schedule precludes this - one week I start work at 6.30am, the next at 11.15am. 

A bug bear of mine with printed inserts was how two pages never had space for my week, but because I can draw my own inserts I was able to rough a solution out without blowing loads of time or cash.

The other factor is the need for visibility of two weeks at a time while I'm out and about. The only solution I could think of was a two page week to view - by folding out, with the five days of the week getting top billing and the weekend gets just one vertical column, as this is all I need. You'll also see that I don't use these pages for to-do lists as I use a mini Finsbury for those. 

The end result isn't pretty, but it works - for me, and if my work or home situation changes, this can too.

Gillio Compagna HBxWA5

Gillio have recently released a new size of Compagna, it was previewed at their event in November 2023, but it was a very busy event so I didn't get a decent chance to look at it. 

Gillio were kind to send me one from the first production batch to review, and this is it. 


From that photograph you might not be able to understand the size or have heard of it before. 

HBxWA5 equates to HB=Height Bible (Bible is the reference to Personal size in Japan) by A5 Width. 

The page size is therefore 171mm high (Personal Size height) by 148 mm wide (A5 width) and it uses Personal size (spacing) rings. 

It's not a new size or one exclusive to Gillio, this size is popular in the Far East and a French organiser firm also sell organisers/inserts in this size. 

You might recall this post, about one in this size bought by GMax for note keeping back in 2015.  

Comparing it to regular A5, the organisers are about the same width but not as tall. 


Looking at the interior. You will see that the pocket arrangements aren't the same as the A5.


The HBxWA5 has two additional card pockets on the surface of the inside back cover rather than the full width business card/papers slot which has been moved to the front cover on the face of the zip pocket. 


The location of the elasticated pen loop has been moved up to compensate for the reduced height. There is also an elasticated pen loop on the leather fly-leaf. 

When it comes to inserts, there are some from the French company Mignon 

They are some inserts also available from Amazon Japan, but the shipping and taxes can be expensive:
I suspect there might be other suppliers soon. 

I decided to attempt to create some of my own by adapting the Philofaxy Diary Inserts to suit. Being the same width as A5 I naturally choose the A5 inserts, but the reduced height means that the normal A5 page height of 210mm is reduced by 38mm, or 19mm at the top and 19mm at the bottom. 

I've not quite got the margins dialled in correctly yet on these test inserts, but you can see that the designs would work reasonably well in this different format. 



As mentioned in the introduction it uses Personal Size ring spacing and this example came fitted with 26mm Krause rings. 

If we take Filofax Personal size as the starting point the width difference for different sizes that use this height page is as follows:

B6 176x125mm +30mm
HBxWA5 171x148mm +53mm

Personal Wide or B6 inserts would also work in HBxWA5 size and still allow for very wide tabs! You would also be able to have 30mm Krause rings fitted without any fear of page overhang. 

Depending on the popularity of this size we might make some 'ready to print' diary inserts available on Philofaxy, we will certainly consider producing a future post on how to convert the existing files to fit this size. I didn't want to get in to that in his review post.

Filofax Personalised Inserts - A potential quality control issue

There has been a lot of discussion about the new Filofax Inserts with the QR codes included for every day.

After a lot people complained, Filofax offered a solution, if you didn't want QR codes on each day. You could order one of their Personalised Diary Inserts and tick the option to not have QR codes. 

One of our readers Kerry in the USA did exactly this, she ordered a diary insert without QR codes, but this is what arrived: 



Look closely at the images above. No QR codes, but what has happened with not only page size but more importantly the hole alignment? 

The page looks like it is 1-2 mm taller which shouldn't be too much of an issue, but the miss alignment of the hole spacing with the central gap (holes 3 to 4) being wider than it should be is a major issue. Kerri tells me in an email that the pages will not go on to the rings of any Filofax she has. 

I have advised her to contact Filofax Customer Service to get a replacement or a refund.

Insert Envy?

Do you ever have 'Insert Envy'? You see an insert someone else is using and start to want to use it as well. 

However, you then realise it is:

  • It is not available in your country;
  • It is not available in the size you are using;
  • It is already sold out;
  • It might go out of production or it already is out of production;
  • You see it, but no details of who makes it, and Google doesn't show it. 

It can be so frustrating, but you need to step back from your desires to use a different insert and think in a more rational way. 

  • Yes this other insert has lots of interesting boxes, but would you use them all every day/week? 
  • Changing size especially going up in organiser/page size can have a big impact on how you use your organiser. 
  • If the insert is only available in a pre-printed format will the paper be suitable for the pens you use? 
Sometimes you just need to review the way you are using your current set up and see if you can improve on its productivity by making a small change or adjustment.

Diary Inserts 2024

There is still plenty of time to get your diary inserts printed for 2024. Making sure you have paper and ink/toner for your printer of course.

Of course all the older files with their source files remain available if you wish to adapt or use them for any year. Just scroll further down the page to discover those. 

Printing any downloaded or created file can be a headache for anyone! It's difficult to give generic instructions because of differences between printers etc. 

If you aren't able to use booklet printing, I discovered recently that you can still use Booklet Printing from Adobe Acrobat (PDF files).

The Golden Rules of How to Use the Philofaxy Diary Inserts


There are some simple basic rules to using the Philofaxy diary inserts. Follow the rules and you should be able to produce your own inserts successfully.

If in doubt or if you are still having issues then contact Steve by email steve at philofaxy dot com.

1. Make sure you have downloaded the correct files. We offer 'pre-merged' versions in Word and PDF versions.

The Word ones tend to be less trouble to print than the PDF files. The 'Pre-Merged' versions are the ones that are ready to print, fresh out of the box, you can modify them, but you will have a lot of work to do!.

Also read the notes on printing below, which apply to pre-merged and modified files.

2. If you want to modify one of our inserts, may be to add some colour, or to change the fonts (within reason) then you need to download the source files, this is a Word File and an Excel file. The Word file will only be 1, 2, or 4 pages in length. (hint!) The Excel file contains all the date information.

There aren't different Excel files for different years, you just change the date in Cell A2 and save the file and then you will have a file to create a new 12 months worth of inserts. In the post 2020 Revamped series you just change the Year in the Year sheet. 

So you can do any 12 month span from this file. We are traditional in doing Jan-December, but if you wanted to do an Academic Year then just set the start date in the Excel file (Cell A2) to your term start date.

3. After doing your mail merge on a source file there are a couple of things you need to do on the new file it creates.
  1. Firstly you need to remove the section breaks from the whole file. To do this the easy/quick way. Do a Find and Replace, in Edit, select Find, Replace. Set Find to ^B (Section Break) and leave the replace blank. It should report finding the number of section breaks depending on the type of insert. 52 in the case of a Week per View insert. 
  2. In the case of a 'Per View' e.g. Week per View (Week on two pages) Month per view, type insert, you need to insert a blank page at the start of the file. So put your cursor at the start of the file and 'Insert' 'Page Break'  
You need to remove the section breaks so that the page margins are correct as they are 'mirrored' margins so the pages will appear to go 'left, right, left' as you scroll down through the file. This is to allow for the binding/ring margin. 

The extra blank page is required to make sure that the pages when printed are 'in sync', without that page the first page of your  Week per View would be on one side of the paper, and the second page on the reverse side of the same sheet, not very easy to use. 

4. If your modifications didn't work out, just go back to your source file make some modifications and try again. Limit printing to say the first 4 or 8 pages, so you don't waste paper. 

5. When printing your files always print in 'Normal' order ie page 1 first, not in Reverse or Collated order. The actual terminology will vary depending on the make/model of your printer and the way in which the sheets are printed, so it is not possible to give any concrete information on what to look for. 

Do a test print and note which page gets printed first, if it is page 1, then page 2 etc you are in business. Printing in the reverse order will often end up with your pages out of sync (not facing each other correctly) 

6. You must not use our files in their downloaded state or modified state for commercial reasons, so please do not sell them. Share them for free of course, but please do not try to profit from our hard work. 

Those are the main rules, but there are several other things that pop up frequently that I will address here. In no particular order. 

Q1. Why don't the files include Week Numbers? 
A1. There are three standards for Week Numbering used in the World. USA uses one standard that isn't the ISO standard for Week Numbering that the majority of the world uses. Given that Microsoft is in the USA, therefore you have to 'break' Excel with macros to get it to produce Week Numbers to the ISO standard!! 

Also we wanted to make our files available to as wide an audience as possible without there being any issues of differences in location. 

Q2. Why do you use Monday to start the week and not Sunday? 
A2. Again this varies depending on your location. The ISO standard for Weeks sets Monday as the start of the week, and the USA, Canada and Japan don't follow the ISO standard. 

That said you are welcome to modify our files to do Sunday start if you really can't live with Monday start. Some examples have been shared previously. See here and for monthly here.

Q3. 'I can't get A4 paper where I live, where can I get it from?'
A3. Take a look on Amazon USA it is available outside of Europe and the rest of the world that uses ISO page sizes. 

Q4. 'All of your files are A4 not A5?'
A4. Yes that is correct they have to be if you are going to use the booklet printing facility on some printers. 

If you are going to print straight on to A5 paper, then scale to fit A5 or by a percentage of 71%

Q5. 'My pages aren't printing correctly, can you please check the file'
A5. Make sure you are printing the file from page 1 not the last page. It is possible we have forgotten to add a blank page to the front of the file, we are human after all! 

Q6. 'The margins are coming out all wrong when I print your files'
A6.  Make sure you are printing on the correct size of paper for the file A4, A5 or Letter size paper. A4 is not the same as Letter Size paper. 

If you have created your own file from our source files, make sure you have removed the section breaks as mentioned in Golden Rule 3 above. 

Q7. "Will you do me an insert with x days and y days missing, etc etc?"
A7. We get a few odd requests. Weeks without weekends (Work Week), Weeks that start on a Thursday and bigger space for certain days and not others. You name it, we have been asked it over the last few years. 

If I'm not busy then I will often create a set of files for you from one of our existing files if it isn't too much of a time suck. But I will often point people in the direction of trying to do the edit themselves so they have full control over the final product. As long as they realise they can't sell it. (see 6 above). 

Of course if you get stuck I am happy to help. 

Q8. 'Can you help me with x on y insert?'
A8. Yes of course I've even done things remote on peoples PC's whilst talking to them on Skype, because obviously I can't see what has come out of the printer! But again subject to time allowing we can try to solve any issue. 

I hope this post helps you use our inserts. Learning how to use our files and making your own version and getting them printed can be a steep learning curve, but one worth doing if you want to have an insert that is perfect for you that isn't going to go out of stock, or be discontinued.

Specialist Diary Inserts

From the very early days of Filofax/Lefax (1920's-1930's) there were a lot of Army Officers and Clergy who were Filofax users. There was a lot of specialist inserts available for them to use as well. 

During a discussion last weekend on the Philofaxy Virtual Meet-Up, we wondered if the clergy still used a Filofax in any form, differently to ourselves. 

With a little help from Mr Google, we discovered that there was in fact a Church Desk Diary available, and a loose leaf version is also available for an A5 Filofax. 

Unfortunately the web page doesn't show the page layout, but from the description (shown below) we can see it is a page per day diary and a double page for Sundays and other major religious days. 

Compare that to a normal Filofax insert that reduces the space available for Saturdays and Sundays!

La Rentrée (Back To School)

Here in France all the schools go back on the same day, no matter where they are in the country. 'La Rentrée' (Back to School) is also seen as a big return to work as well as a lot of businesses close their offices for part of, or all of August. 

The roads here in August are either deathly quiet or totally crazy! Best avoided if possible.

I have already ordered and received my Quo Vadis Daily 21 bound planner that I use as a daily journal, I've been using the same model for the last 12 years! The paper is excellent and takes fountain pen ink with no issues. Therefore why change. 

September is also the time of year when I start to think about printing my inserts for the next year. 

I like to get my inserts printed well before the end of the year because events and appointments for the following year start to appear on the calendar, so I like to get them in to my organiser before I get double booked with something else. 

I'm 99.99% certain to be staying in A5 page size. I want to test out one of our new inserts compared to my usual Enhanced Time Management insert to confirm which one I will be using next year.

Filofax Personalised Diary Inserts

Filofax UK have recently announced their own Personalised Diary Inserts

At first viewing I didn't think there was anything different about these compared to their existing range. However, I took some time to look at what they are offering in detail and I was pleasantly surprised. 

On the positive side of things:

  • You can choose the colour and the weight of paper that the inserts are printed on;
  • They are only in English, not multi-language;
  • You can start your year on any month;
  • Saturday and Sunday have equal space as Monday to Friday;
  • You can have the public holidays for more than one country; 
There are other small advantages that I'm sure people will like. 

Unfortunately these are only available on the Filofax UK at the moment. 

They are only available in Personal, A5 and A4 sizes. It's a shame they haven't included Pocket size as well.  

The Filofax 'Day to View' appears to be a Day on One Page, not a Day on Two Pages. 

I'm also concerned that they will continue to keep these available, they have previously had specialised diary insert collection (Filofax Enthusiasts Collection), but they discontinued them within a year. 

I might be tempted to order a set of these inserts for Personal size, the price is very reasonable and I could get them delivered to my son's address in UK to avoid silly delivery + tax costs. 

Take a look you might be pleasantly surprised, they are a welcome addition and at a sensible price.
