8) PURPOSE OF THE GROUP:
          I. Helping members save money, access loans and invest income generating activities.
         II. The group provides a platform for members to come together and work together to
             improve their livelihoods and address common challenges
        III. Well fair and social support – financial assistance in time of accidents, illness or
             emergencies.
        IV.  Training and skill development – offering training on road safety and business
             management.
9) OBJECTIVES:
          I. To enhance road safety – to provide training safety riding practices.
         II. To provide skill development.
        III. To foster unity and co-operation
        IV.  To promote financial empowerment
10) GROUP ACTIVITIES:
          I. Financial activities – collecting regular member contributions (savings) and managing
             o group funds.
                                 -providing loans to members for motorcycle purchases, repairs
and
                                  Personal needs.
            II.Social and well fair activities – offering support to members during emergencies,
                                    such as            accidents or family crises.
11) MEMBERSHIP:
                 Eligibility – membership is open to individuals aged 40 years and above
                     -     Prospective members must submit a completed
                           application form and pay the registration fee 600/=
  Procedure of joining – must agree to follow the group’s constitution, rules
   and
                               Regulations.
                            -meeting membership requirements such as; national ID
                         and registration fee
  Procedure of removal
 a) Warning – the member receives verbal or written warnings 3 times
 b) Hearing – the member is given a chance to explain themselves before the
    leadership committee act.
 c) Decision – the leadership votes on removal based on the group’s
    constitution.
 d) Formal notification – if removed, the member receives an official letter
    explaining the reasons.
 e) Right to apples – a member should be allowed to appeal the decision within
    7 days.
  Procedure of departure:
1) Voluntary departure (resignation) – a member who wishes to leave the group
   willingly;
       - Write a formal resignation letter – submit a letter to the group
           leadership stating the reasons for leaving
       - Clear outstanding financial obligations – settle any pending
           contributions, loans or group debts if any.
       - Return group property – if holding any group-owned assets (eg; loaned
           motorcycle, ID, membership cards) they must return them.
       - Leadership review and approval – the leadership committee refuse and
           approves the departure.
       - Final settlement – if the group has a savings or well fare fund, the
           departing member may be entitled to refund based on the group
           policies.
       - Official confirmation – the member receives a formal exit confirmation
2) Departure due to expulsion (involuntary exit)
    -a member may be removed from the group due to;
        i.    Gross miss contact (eg; violence, fraud, criminal activities)
       ii.    Failure to meet financial obligations eg; non-payment of contributions
              or loans
      iii.    Extended absenteeism
3) Duties of members:
           1. Financial responsibilities – money contribution, savings and any
              requirements on time.
        -Repay loans or group financial support as per agreed terms.
        -Participate in group investment projects and income generating activities.
        2. Participation and engagement – attend meetings and actively
           participate in discussions.
        3. Adherence to group rules and values
                Respect and follow the group’s constitutions, by-laws and
                   regulations.
                Respect fellow members, group leadership and customers.
                                    Maintain honesty, integrity and discipline in personal and
                                       group activities.
                         4.   Security and conflict resolution.
                                    Help resolve disputes peacefully within the group.
                                    Promote peace and good relationships with the community
                                       and the authorities.
                         5.   Advocacy and representation
                                    Represent the group positively in public forums.
                         6.   Care and maintenance of group properties.
                                    Protect and ensure the security of the shared group
                                       investment.
                                    Properly use and maintain any asset or resources provided the
                                       group.
                         7.   Well fare and social support.
                                    Support fellow members time of need.
                                    Contribute to emergency well fare fund (eg; for medical
                                       emergencies, accidents or funerals)
                                   RIGHTS OF MEMBERS.
These rights help protect members while promoting unity and professionalism.
      1) Right to membership benefits.
            i.   Benefits from well fare support in cases of accidents, illness or lose of a loved
                 one.
           ii.   Participate in group investments and profit-sharing initiatives
          iii.   Access financial support e.g. as loans, savings programs and emergency
                 funds.
      2) Right to participate in decision making
            i.   Attend meetings and vote on important matters affecting the group e.g.
                 poverty
                 contribute ideas, propose changes ad engage in discussion
      3) Right to fair treatment
   i.    Be treated equally and without discrimination based on gender, tribe, religion or
         social status
  ii.    Be protected from harassment, unfair expulsion or mistreatment by other members
         or leaders
 iii.    Have access to justice within the group incase of disputes or misconduct or
         misunderstandings
      4) Right to information and transparency
   i.    Receive regular updates on financial records, group investment and leadership
         decisions
  ii.    Access meeting minutes, financial reports and policies to ensure transparency
 iii.    Request clarification on any matters concerning group funds, projects or rules
      5) Right to personal and business development
         receive training and business growth
      6) Right to security and protection
   i.    Seek help from the group incase of arrests, accidents or securing threats
  ii.    Expect fair conflict resolution mechanism for dispute with the group
 iii.    Be protected from unfair treatment by authorities, customers or other riders
     7) Right to exit the group
  i.    A member may resign voluntarily if they no longer wish to be part of the group
  ii.        If expelled the member has the right
                                          DICIPLINE OF MEMBERS
The group should have clear rules, disciplinary actions and conflict resolution mechanisms to maintain order.
1. Expected code of contact.
    i.       Respect group rules and constitution.
   ii.       Attend meetings regularly and participate regularly.
  iii.       Ride safely and obey traffic rules.
  iv.        Respect fellow members, leaders and customers.
   v.        Avoid criminal activities, corruption or fraud.
  vi.        Promote unity and avoid conflict within the group.
2.forms of misconduct.
A member may face disciplinary actions for:
    i.       Failure to pay group fees, loans and contributions.
   ii.       Engaging in illegal activities (theft, drug abuse, reckless riding and violence)
  iii.       Disrespecting or threatening leaders and members.
  iv.        Misuse or embezzlement of group funds.
   v.        Absenteeism from meetings and group activities without valid reasons.
  vi.        Spreading false information or inciting conflict within the group.
                                                    DICIPLINARY ACTIONS
         Warning – verbal or written warning for minor offences.
         Fine or penalty – monetary fines for offences like missing meetings or failing to
          contribute.
         Suspension -temporary suspension from group activities for respected violation.
         Expulsion – permanent removal from the group for serious misconduct.
         Legal action – if a member commits a crime (eg; fraud, violence) legal actions may be
          taken.
                                                DICIPLINARY PROCEDURE.
         Investigation – the leadership committee investigates complaints or reports of
          misconduct.
         Hearing – the accused member is given a chance to explain their side.
         Decision making – the leadership decides the appropriate disciplinary action based
          on evidence.
         Appel process – if expelled or punished unfairly a member can appeal for
          reconsideration.
         Implementation – the final decision is recorded and enforced.

        a)   Chairperson.

             FUNCTIONS OF OFFICE BEARERS:
        1. Chairperson.
          i.   Precedes over meetings and decision-making process.
         ii.   Ensures group unity and discipline among members.
        iii.   Represent the group in external engagement (eg; government, partners)
        iv.    Gives the group directions.
         2.          Vice chairperson.
    i.               Takes over in the absence of the chairperson.
   ii.               Helps in resolving conflicts and ensuring smooth operations.
       3.            Secretary.
    i.               keeps records of meetings, decisions and activities.
   ii.               writes official letters and documents on behalf of the group.
  iii.               Maintains membership records.
  iv.                Works closely with the chairperson to ensure smooth administration.
         4.          Vice secretary.
    i.               Takes over in absence of the secretary.
         5.          Treasurer.
   ii.               Manages the group finance, budgets and accounts.
  iii.               Keeps records of contributions, savings and expenses.
  iv.                Provides financial reports during meetings at the specified period.
   v.                Ensures financial transparency and accountability.
         6.          Organizing secretary.
                i.        Plans and organizes meetings, events and activities.
               ii.        Ensures smooth logistics and mobilization of members.
              iii.        Works with the secretary to implement the decisions.
         7.          Welfare officer.
    i.               Looks after the wellbeing of members (eg; health, safety and support)
   ii.               Organizes assistances during accidents, sickness or financial difficulties.
  iii.               Promotes group unity and social activities.
         8.          Disciplinary officer.
    i.               Ensures members follow group rules and regulations.
   ii.               Handles conflict resolution and misconduct cases.
  iii.               Works with the leadership to enforce fair disciplinary actions.
                                                       REGISTRATION OF OFFICE BEARERS.
         1.           Official registration letter.
         a)          the leader should write a formal registration letter addressed to the group.
-the letter should include;
    i.               Reasons for registration.
   ii.               Date of registration.
  iii.               Hand over process.
       b)            Announcement to members.
    i.               The registration should be formally communicated to all group members, these can be done during
                     official meetings or a written notice.
       c)            Handover of responsibility.
   ii.               The resigning leader must hand over records, finances and assets related to their role.
  iii.               If there are ongoing projects, they should brief the next leader or committee.
  iv.                Financial and administrative reports should be reviewed before transition.
                                                 APPOINTMENT OF AN INTERIM LEADER.
                i.        If the resignation is sudden, the vice chairperson or a senior member may take over temporarily.
               ii.        The committee may decide on a temporarily leader until elections are held.
                                                                 CELECTION.
   i.                By-election.

       UPDATE LEGAL AND FINANCIAL DOCUMENTS.
 i.        Membership records and agreements should be updated.
ii.        If the leader was a signatory to group finances the bank and other relevant authorities
           should be noticed.
       MAINTAINING STABILITY AND UNITY.
 i.        Leaders and members should avoid conflicts during leadership transition.
ii.        Encourage unity and focus on the group’s objectives.
       METHODS OF REMOVAL OF A LEADER.
       1. Voluntary resignation.
 i.    The leader can step down willingly if they feel they can no longer serve.
ii.    They should write a resignation letter and hand over responsibilities.
    2. Vote of no confidence (democratic process)
 i.    Members can call for a vote of no confidence if the leader is not effective.
       The process; -
         The members submit a written petition with valid reasons.
         A special meeting is called to discuss the issue.
         Members vote by secret ballot or off hands to remove the leader.
         If the majority votes for removal, the leader is replaced.
     3. Disciplinary committee action.
 ii.    If the leader is involved in misconduct (eg; corruption, mismanagement and abuse of power)
        the disciplinary committee can investigate.
iii.    After the investigation- the committee may warn, suspend or remove the leader.
                                -a formal report should be shared with the members.
                              QUALIFICATION OF OFFICE BEARES.
  i.       Should be 40 years old.
 ii.       Honesty and integrity.
iii.       Good communication skills.
iv.        Decision making ability.
 v.        Commitment to group goals.
                                  TENURE OF OFFICE BEARERS.
 i.        Leaders should serve a term of tow years and may be re-elected for additional terms.
ii.        Group finances; -
            Source of finance
  i.       Membership fee – one time or recuring fees paid by new members.
 ii.       Monthly constitution – regular savings or welfare contributions by members.
iii.       Loan schemes – the group may give loans to members and earn interest of 10%
iv.        Government or NGO’s grants – collaboration with financial institutions, SACCOS or private
           sponsors.
 v.    Income – generating activities – some groups run small business-like spare parts shop or fuel
       stations.
vi.    Fine and penalties – members who violet group rules may be fined contributing to the fund.
                                    FINANCIAL MANAGEMENT
  i.   Bank account – maintain a group account where all funds are deposited.
 ii.   Treasurer role – a designated treasurer manages and records financial transactions.
iii.   Financial record and audits – proper book keeping and annual audits ensure transparency.
iv.    Loans and saving policies – clear guidelines on how loans and savings are handled.
